Position Overview:

As the Executive Assistant, you will provide comprehensive support to our C-suite executives, ensuring efficient operations and effective communication within the organization.

Key Responsibilities

Executive Support:

  1. Manage complex calendars, including scheduling meetings, conferences, and travel arrangements for C-suite executives.
  2. Act as a liaison between executives and internal/external stakeholders, including clients, board members, and partners.
  3. Prepare and edit correspondence, presentations, and reports with a high degree of accuracy and attention to detail.
  4. Coordinate and prepare materials for board meetings, executive committees, and other high-level meetings.
  5. Manage sensitive and confidential information with the utmost discretion.

Office Management:

  1. Oversee administrative functions for the executive office, ensuring efficient operations.
  2. Manage executive expense reports and budget tracking.
  3. Coordinate logistics for executive events, offsites, and team-building activities.

Communication and Relationship Management:

  1. Screen and prioritize incoming communications, including emails, phone calls, and visitors.
  2. Cultivate and maintain strong relationships with key internal and external stakeholders.
  3. Facilitate effective communication between the executive team and other departments.

Project Coordination:

  1. Assist in the coordination and execution of special projects as assigned by executives.
  2. Track progress on key initiatives and provide regular updates to the leadership team.
  3. Collaborate with various departments to gather information and resources for executive decision-making.

Qualifications

Education and Experience:

  1. Bachelor's degree in Business Administration or related field.
  2. 3-5 years of experience as an executive assistant, preferably in a consulting, technology, or professional services environment.
  3. Experience supporting C-level executives in a fast-paced, global organization.

Skills and Competencies:

  1. Exceptional organizational skills with a strong ability to multitask and prioritize in a dynamic environment.
  2. Outstanding written and verbal communication skills.
  3. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  4. Strong problem-solving skills and ability to exercise good judgment in complex situations.
  5. Highest level of discretion and confidentiality.
  6. Cultural awareness and ability to work effectively in a global, diverse environment.
  7. Ability to anticipate needs and proactively resolve potential issues.
  8. Flexibility to work extended hours when necessary, including some weekends.
