Job description

Roles and responsibilities

1. Warehouse Operations Management:

  • Supervise Daily Activities: Oversee all daily warehouse operations, including receiving, storage, order picking, packing, and shipping of goods. Ensure operations are carried out efficiently and accurately.
  • Inventory Control: Maintain accurate inventory records, ensure stock levels are monitored, and oversee periodic inventory audits. Resolve discrepancies between physical stock and inventory records.
  • Logistics Coordination: Coordinate the movement of goods within the warehouse and with external transportation providers to ensure timely and accurate shipments to customers or other business units.
  • Order Fulfillment: Ensure that orders are picked, packed, and shipped accurately and efficiently. Monitor order status and resolve any issues or delays that arise in the fulfillment process.

2. Team Leadership and Staff Management:

  • Staff Supervision: Lead, supervise, and motivate a team of warehouse workers. Delegate tasks, provide training, and ensure staff are well-equipped to perform their duties.
  • Scheduling and Shift Management: Create and manage work schedules for warehouse staff to ensure adequate coverage during peak periods. Adjust schedules as necessary based on workload fluctuations.
  • Performance Management: Monitor employee performance and provide feedback. Conduct performance reviews, address issues or challenges, and implement corrective actions when necessary.
  • Training and Development: Provide ongoing training for new and existing employees on warehouse procedures, safety protocols, equipment use, and product handling.

3. Safety and Compliance:

  • Health and Safety: Ensure that warehouse operations comply with local and industry-specific safety regulations (e.g., OSHA, HACCP, etc.). Implement safety protocols to prevent accidents and injuries in the warehouse.
  • Equipment Safety: Oversee the safe operation and maintenance of warehouse equipment such as forklifts, pallet jacks, and conveyors. Ensure that employees are trained to use equipment safely.
  • Regulatory Compliance: Ensure compliance with all relevant regulations, including labor laws, inventory management standards, and environmental policies. Ensure proper documentation is maintained for audits.

4. Process Improvement and Efficiency:

  • Optimize Warehouse Layout: Review and optimize the warehouse layout to improve the flow of goods, reduce handling time, and increase storage capacity.
  • Implement Best Practices: Identify inefficiencies in warehouse processes and recommend improvements to increase productivity. Implement continuous improvement initiatives such as Lean or Six Sigma to streamline operations.
  • Technology and Automation: Stay up to date with warehouse management systems (WMS) and other technologies that can improve operational efficiency. Implement new systems or processes where necessary.

5. Inventory Management and Reporting:

  • Track Stock Levels: Oversee inventory counts and ensure proper documentation of goods received, stored, and shipped. Monitor stock levels to prevent stockouts or overstocking.
  • Reporting: Prepare regular reports on warehouse operations, inventory levels, order fulfillment rates, and staff performance for management review. Identify and report any issues or discrepancies.
  • Returns Management: Manage the return process for goods, ensuring that returned items are inspected, logged, and stored properly.

6. Customer Service:

  • Problem Resolution: Address any issues or complaints regarding deliveries, stock shortages, or damaged goods. Work with other departments (e.g., customer service, logistics) to resolve these issues promptly.
  • Collaboration with Other Departments: Collaborate with procurement, sales, and other departments to ensure accurate and timely fulfillment of customer orders and address any discrepancies in inventory or orders.

Desired candidate profile

1. Warehouse and Operations Management:

  • Inventory Management: Strong understanding of inventory control systems, stock management, and order fulfillment processes. Experience with Warehouse Management Systems (WMS) or Enterprise Resource Planning (ERP) software.
  • Logistics Coordination: Knowledge of logistics and supply chain management practices to ensure timely and accurate shipment of goods.
  • Process Optimization: Ability to identify inefficiencies and implement improvements to streamline warehouse operations and increase productivity.

2. Leadership and Team Management:

  • Leadership Skills: Ability to lead, motivate, and manage a team effectively, including delegating tasks, providing guidance, and addressing performance issues.
  • Communication: Strong communication skills for interacting with staff, management, vendors, and other departments.
  • Conflict Resolution: Ability to address and resolve conflicts within the team or with external partners or customers.

3. Safety and Compliance Knowledge:

  • Health & Safety Standards: Familiarity with workplace safety regulations (e.g., OSHA, fire safety, environmental regulations) and ability to enforce them in the warehouse environment.
  • Equipment Management: Knowledge of warehouse equipment and safety protocols for forklifts, pallet jacks, conveyors, and other machinery.

4. Problem-Solving and Analytical Thinking:

  • Attention to Detail: Ability to spot errors or inconsistencies in inventory records, shipments, and processes and take corrective action.
  • Troubleshooting: Strong problem-solving skills to address operational issues, such as delays in order fulfillment, stock discrepancies, or equipment malfunctions.
