Job Purpose
To provide day-to-day administrative and office support in the various Human Resources functions; to ensure that the company employs the right balance of staff in terms of skills and experience; to enhance the performance of the staff and achieve the employer’s business aims; to add value to the organisation; to be the first point of contact for all HR-related queries; to provide advice and assistance to managers and staff. Acts a Primary point of contact for employees for generic HR queries and HRMS transactions
Key Responsibilities
Policy & Compliance
- Interpret company policies and UAE labor laws, providing advisory support to management.
- Track and update records based on labor law changes.
Onboarding & Integration
- Ensure new hires complete onboarding formalities, including employment contracts and data forms.
- Coordinate with support teams for insurance, salary advances, and IT setup.
Employee Relations
- Assist the HR Manager in handling investigations, disciplinary actions, and grievances.
- Collect and organize disciplinary records, liaising with line managers.
- Prepare disciplinary, warning, and termination letters.
Attendance & Leave Management
- Monitor employee attendance and leave records.
- Process and approve leave applications.
- Track leave extensions, absences, and coordinate with PR on absconding cases.
- Process duty resumption forms and report delays/no-shows.
Payroll & Incentives
- Process payroll entries for all three regions.
- Maintain employee payroll data and ensure accurate deductions and payments.
- Address payroll-related queries and maintain statutory salary records.
- Track cost allocations, employee transfers, and validate incentive payouts.
Cross-Department Coordination
- Work with the accounts department for leave confirmations and final settlements.
- Liaise with operations managers on employee concerns.
Separation & Offboarding
- Handle resignations confidentially and oversee the offboarding process.
- Ensure proper documentation for final settlements and EOSB reporting.
- Coordinate visa cancellations with the PR department.
Records Management & Reporting
- Maintain and update employee files and HR databases.
- Track and report leave, disciplinary actions, and exit interview insights.
- Analyze attrition trends and provide insights.
Additional Responsibilities
- Prepare HR-related documents and letters as needed.
- Support special HR projects and assignments.
- Manage travel arrangements.
- Track employee labor and legal cases, providing necessary assistance.
This role requires a proactive and detail-oriented HR professional capable of managing multiple HR processes efficiently while ensuring compliance and fostering a positive workplace.
Qualifications & Experience
- Education: Degree or Diploma in Management, preferably with an HR qualification or demonstrated interest in HR.
- Experience: Minimum 3 years of experience in payroll and HR operations.
- Technical Skills: Proficiency in Excel and MIS reporting.
