WSP Middle East is seeking a dynamic and experienced Head of Workplace and Administration Manager to lead our Workplace and administration function at WSP. In this pivotal role you will be responsible for creating a productive and supportive work environment that enhances employee engagement and operational efficiency. You will oversee key areas such as Office & facility management and vendor relationships while also managing our translation services and doent control function.
As a strategic leader you will drive initiatives that promote a positive workplace culture and optimize resource utilization. Your ability to foster collaboration and lead a diverse team will be essential in achieving our organizational goals. Additionally this role requires a willingness to travel to WSP offices within the region to ensure alignment and support across our operations. Your new role whats involved
Manage and lead high performing Workplace and Administration teams across the Middle East supporting their development and engagement within the business
Lead the Facilities team to develop appropriate strategies and ensure effective preventative maintenance is in place which is monitored on a regular basis.
Lead our administration function which comprises of; fleet management travel support executive support translation support & secretarial support where some of these teams are based in our iCRC in India.
Connection with stakeholders including leaders of the business to ensure service levels are constantly improving & meeting the changing demands of the business
Lead our business travel function including development & management of expenses policies and overseeing corporate spend
Oversee the translation services to ensure accurate and timely communication across multilingual stakeholders enhancing accessibility and understanding of key materials.
Manage services and processes to meet the needs of the business ensuring consistency across the Middle East offices and project site offices.
Manage relationships with external service providers & key vendors to ensure quality of service and value for money.
Oversee office refurbishments renovations and maintenance work ensuring compliance with our WSP standards
Drive forward improvements to implement best practice processes and increase efficiency across all disciplines in the team
Drive sustainability initiatives across our Workplaces in all aspects
Work closely with our finance team to prepare and manage a large budget including quarterly forecasting
Ensure compliance with HSE and Quality standards and support with internal / external office audits
Primary point of contact for leaders of the business to manage and organise the implementation of initiatives and events ensuring engagement of office and project site office employees.
Regular regional travel (including India) as per business requirements
Develop appropriate ME workplace strategy ensuring this aligns with the WSP global real estate strategy
Reviewing workplace occupancy data on a regular basis ensuring data accuracy appropriate technology is deployed & workplace strategies are developed accordingly for accurate space planning.
Liaison with the global workplace & FM teams
In the event of unforeseen cirstances supporting the crisis management team with actions primarily related to workplace & travel
Leveraging technology to improve efficiency across all admin & workplace functions
Upholding WSPs high ethical standards in all aspects of the role
Understand ME culture norms and practices to ensure we maintain inclusive workplaces
Wed love to hear from you if you have:
Education: Bachelors degree in Business Administration Facilities Management or a related field; Masters degree preferred.
Experience: Minimum of 1012 years of experience in workplace management and administration with at least 5 years in a similar role.
Ss:
Strong organizational and project management ss.
Excellent communication and interpersonal abilities.
Proficiency in doent control and translation management.
Experience with facility management and vendor relations.
Knowledge:
Familiarity with compliance regulations and best practices in workplace safety.
Understanding of employee engagement strategies and workplace culture enhancement.
Leadership: Proven ability to lead and motivate a diverse team fostering a collaborative environment.
Technical Proficiency: Competence in using office management software and tools including project management applications.
Travel Requirement: Open to traveling to WSP offices within the region as needed.
