Job Summary:
This role involves coordinating maintenance, vendor management, space planning, and office services to provide a safe, functional, and efficient work environment. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks in a fast-paced corporate setting.
1. Facility Maintenance & Operations:
Oversee day-to-day facility operations, ensuring a clean, safe, and well-maintained office environment.
- Coordinate routine maintenance, repairs, and inspections (HVAC, electrical, plumbing, lighting, etc.).
- Manage relationships with vendors, contractors, and service providers (cleaning, security, landscaping, etc.).
- Ensure compliance with health, safety, and environmental regulations.
2. Space & Move Management:
Assist with office space planning, seating arrangements, and workspace optimization.
- Coordinate office moves, reconfigurations, and furniture installations.
- Maintain floor plans and asset inventories (furniture, equipment, etc.).
3. Administrative & Support Services:
Handle facility-related requests and work orders in a timely manner.
- Manage office supplies, equipment, and inventory.
- Assist with meeting room setups, event coordination, and catering arrangements.
- Maintain facility records, contracts, and documentation.
4. Security & Emergency Preparedness:
Support access control systems, key management, and security protocols.
- Assist in emergency response planning (fire drills, evacuation procedures, etc.).
5. Sustainability & Cost Control:
Implement energy-saving and sustainability initiatives.
- Assist in budget tracking and cost-saving measures for facility operations.
Qualifications & Skills:
Education: Diploma/ Bachelor’s degree in Civil engineering
Experience: 4-5 years in facilities coordination, office management, or related role (corporate environment preferred).
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and vendor management skills.
- Proficiency in MS Office (Excel, Word, Outlook) and facility management software (e.g., CMMS).
- Basic knowledge of building systems and maintenance processes.
Work Environment:
Primarily office-based with occasional need to inspect facilities or meet vendors. May require occasional after-hours support for emergencies or projects.
