To provide administrative support by effectively handling correspondence, documentation, and other administrative tasks. To support the GCEO by maintaining scheduling, travel arrangements, directing communications enquiries, and supporting on key documentation preparation in coordination with the Head of CEO Office.
KEY ACCOUNTABILITIES:
Generic Accountability
Act as the CEO office point of contact for all administrative requests including but not limited to management of correspondence, calendars, and meetings, travel logistical arrangements, etc.
Specific Accountability
Provide efficient secretarial and administrative support to the Head of CEO office where needed and assist in all daily activities in a confidential manner to ensure the effective operations of the CEO office.
Manage and prepare the GCEO's calendar including scheduling and cancellation related to the GCEO's meetings, events, conferences, and teleconferencing to ensure the GCEO is informed of any cancellations or new meeting requests and other relevant information as directed by the Head of CEO office.
Coordinate and manage logistics for the events, engagements, meetings in which the GCEO is participating, in coordination with the Protocol Assistant.
Assist the Head of CEO office in the preparation of agenda, presentations, discussion points, and supporting documents for meetings, conferences, and committees in which the GCEO participates.
Act as the CEO office point of contact for all administrative requests, track and follow up on the status of periodic reports submission, GCEO's requests, directions, and Board of Directors critical circulars, in coordination with the Head of CEO office.
Manage the GCEO's travel arrangements, including itineraries, flights, accommodation, expenses, and any other travel needs.
Arrange travel itineraries and logistics for GCEO's visitors and coordinate with the Protocol Assistant to ensure compliance with relevant procedures and protocol, when required.
Develop reports and briefs about the GCEO's visitors.
Manage GCEO's inward correspondences received from the Head of CEO office and coordinate with the respective CEO office team members to ensure appropriate and timely response.
Develop and maintain a database and filing/archiving system for all files and records related to the GCEO's work, while ensuring compliance with procedures for the integrity and confidentiality of data and files.
Maintain the GCEO's contact list including complete record of addresses, telephone directory and communications of all stakeholders.
Maintain effective business relationships with the GCEO's key stakeholders in order to facilitate the coordination between them and the CEO office.
Undertake any other tasks/projects assigned by the GCEO.
Desired Candidate Profile
Qualifications
Bachelor's degree in a related discipline.
5 - 8 years of relevant experience supporting executive and senior staff, preferably in the banking sector.
