Job description

We are seeking a detail-oriented and proactive Operations Executive to join our gifting business. This role will involve handling day-to-day operational tasks, including receiving orders, preparing packaging, managing inventory, and ensuring smooth logistics for timely deliveries. The ideal candidate should have hands-on experience in arranging gifts such as flower bouquets and chocolate packaging, as well as coordinating shipments and logistics.

Key Responsibilities:

Order Management:

  • Receive, review, and process customer orders promptly.
  • Ensure orders are fulfilled accurately and in a timely manner.

Packaging and Presentation:

  • Prepare and package gift items such as flowers, chocolates, and personalized gifts with high attention to detail.
  • Ensure packaging standards are met to maintain brand quality.

Inventory Management:

  • Monitor stock levels of gift items, packaging materials, and other supplies.
  • Coordinate with suppliers to replenish stock when necessary.

Coordination of Logistics and Shipments:

  • Organize and coordinate with logistics partners for smooth and on-time deliveries.
  • Track shipments and resolve any delivery-related issues.

Quality Control:

  • Conduct quality checks to ensure all gifts are prepared as per customer specifications.
  • Identify and resolve any discrepancies in orders.

Supplier & Vendor Relations:

  • Work closely with suppliers for procurement of flowers, chocolates, and other gift items.
  • Build strong relationships with logistics providers and couriers to ensure reliable service.

Customer Support:

  • Assist in addressing customer inquiries related to orders, shipments, and product availability.

Process Improvement:

  • Continuously look for ways to optimize packaging, storage, and delivery processes to enhance efficiency and reduce costs.

Qualifications:

  • Proven experience in operations, logistics, or a similar role within the gifting, retail, or hospitality industry.
  • Hands-on experience in packaging and arranging gifts (flowers, chocolates, etc.) is a must.
  • Strong organizational skills with the ability to multitask and manage time effectively.
  • Proficiency in using inventory management software or logistics platforms.
  • Excellent communication and coordination skills.
  • Ability to work in a fast-paced environment and meet deadlines.

Preferred Skills:

  • Familiarity with flower arrangement and chocolate packaging.
  • Experience in working with logistics providers and couriers.
  • Knowledge of e-commerce operations would be a plus.
