About the Job

Virtua is a newly launched global executive search and recruitment business, based in Dubai with offices globally in the UK, Netherlands, UAE, and North America. Specialising in the sports, fashion, outdoor, sustainability, and wider consumer goods markets, our team members have over 30 years of experience in their relevant fields providing a strong foundation for a business built on passion.

We have particular expertise in working with clients in international territories, relocating talent from all over the world & working with some of the most innovative talent across e-commerce, retail, brand marketing, creative, finance, operations, sales, product creation, and sustainability.

We're looking for a bright, energetic individual, with a strong eye for detail to join our team to support the team of Directors in the day-to-day operations of the business. We require a credible, driven, and collaborative EA who has experience in working with international offices to help us keep an organised & professional operation whilst we go through the next phases of growth.

This is a multi-faceted role encompassing support for multiple areas of the business, with room to develop in line with Virtua's long-term growth plans. This is a fantastic opportunity for anyone wanting to take on the challenge of working in a start-up, within a business with a flexible & autonomous culture that has huge ambitions for the future.

The ideal candidate will provide top-level assistance for the CEO. You should be well-organised and comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

We have a highly flexible culture and fast-paced business environment. We require a self-starter who isn't afraid to push back on our team and get things done whilst working at pace.

Responsibilities

  • Calendar management for executives
  • Working closely with the CEO
  • Support all general admin queries with CEO
  • Liaise with clients and candidates, being the trusted point of contact for our entire business
  • Support finance & debt collection efforts, working closely with our accountancy teams
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes, and documents for executives
  • Ensure CRM is kept up to date with all info sent into inboxes

Qualifications

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite (Excel is a must)
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organised, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
