Job Description

Office Administration:

  • Managing daily office operations to ensure smooth functioning.
  • Organizing office supplies, inventory management, and procurement of necessary materials.

Document Management:

  • Drafting, formatting, and proofreading documents, reports, and correspondence in English and Arabic.
  • Ensuring proper filing and organization of both physical and digital documents.

Communication Support:

  • Acting as the point of contact for internal and external communication, handling inquiries in both languages.
  • Managing emails, phone calls, and messages, ensuring prompt responses.

Scheduling and Coordination:

  • Managing calendars, scheduling meetings, and coordinating appointments.
  • Organizing travel arrangements, conferences, and events for the team.

Data Entry and Reporting:

  • Handling data entry tasks, maintaining databases, and preparing reports.
  • Ensuring accurate record-keeping and assisting in preparing presentations.

Customer Service and Support:

  • Providing support to clients and customers, answering inquiries, and resolving issues.
  • Assisting in maintaining a high level of customer satisfaction and ensuring timely follow-ups.

Event and Meeting Organization:

  • Coordinating and preparing materials for meetings and events, ensuring smooth arrangements.
  • Taking minutes during meetings and translating if required.

Translation Support:

  • Translating documents, emails, and reports between English and Arabic as needed.
  • Ensuring accurate and culturally appropriate translations.

HR and Payroll Support:

  • Assisting with employee documentation, onboarding, and other HR-related tasks.
  • Providing support with payroll and benefits administration, ensuring clear communication.

General Office Support:

  • Assisting with general office duties such as mail handling, managing office equipment, and coordinating supplies.
  • Providing support for any ad-hoc administrative tasks as needed.

Confidentiality and Compliance:

  • Ensuring confidentiality of sensitive information and maintaining compliance with company policies.
