Executive Assistant

Job Location: UAE

Job Duties:

  1. Organize and prepare for meetings or specific events including setting agendas and taking minutes of meeting.
  2. Manage the executive's calendar to avoid conflicts and ensure timely attendance.
  3. Answer and screen phone calls directing inquiries and messages appropriately.
  4. Compose professional correspondence letters, emails, memos based on clear instructions.
  5. Manage and prioritize emails to ensure timely responses and follow up.
  6. Act as a point of contact between the executive and internal/external stakeholders.
  7. Organize travel plans including booking flights, accommodations, and transportation.
  8. Prepare and edit reports, presentations, and other documents.
  9. Create and maintain accurate and organized electronic and paper filing systems.
  10. Oversee office supplies and equipment.
  11. Assist with special projects or other duties as required from management.
  12. Handle sensitive information with utmost confidentiality and professionalism.

Other Requirements:

  1. Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
  2. Excellent written and verbal communication abilities in English and Arabic.
  3. Professionalism in interacting with clients, colleagues, and senior management.
  4. Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint).
  5. Familiarity with scheduling tools and project management software.
  6. Ability to anticipate and address issues proactively.
