Controlling the conduct of all general affairs which affects the supervisor of the assigned office.
Serving as a primary contact for persons seeking appointment with supervisors, arranging such appointments to avoid unnecessary interruptions to the supervisor’s schedule and referring visitors or telephone callers to subordinate personnel, as necessary.
Correspondence
Opening and screening incoming mail and re-routing it to other units for action, where appropriate.
Composing replies to correspondence for the supervisor’s signature.
Handling routine queries personally.
Maintaining confidentiality of information and correspondence for the supervisor’s signature.
Taking and transcribing a variety of correspondence and compiling periodic reports on board instructions from the supervisor.
Documentation & Reporting
Providing routine information from records to other organizational units, as requested.
Maintaining knowledge and records of current Hospital policies and procedures.
Establishing and maintaining a variety of files and other office systems necessary for the performance of the work.
Administrative Work
Handling minor administrative matters, based on knowledge and judgment of Hospital regulations, procedures and policies.
Completing project assignments as requested.
Qualifications
Bachelor Degree in Administration or equivalent.
Secretarial School Diploma (NLT 2 years curriculum) or equivalent.
