Job description

We are looking for an energetic and capable Administrative Assistant specialized in marketing & administrative skills to assist us with office administration.
To ensure success as an administrative secretary, you should possess excellent communication skills and demonstrable experience in a secretarial role, being organized in performing a wide array of administrative duties.


Responsibilities:

  1. Reporting to management and performing secretarial duties.
  2. Processing, typing, editing, drafting, and updating assigned reports and documents.
  3. Assisting with a variety of administrative tasks including copying, faxing, taking notes, and making travel plans.
  4. Answering phones in a professional manner and routing calls as necessary.
  5. Assisting in marketing activities as well as other departments with administrative tasks as required.
  6. Attending, sorting, and distributing mail, leads/inquiries over calls, WhatsApp/emails, and assigning to the related department.
  7. Filing documents, entering data, and maintaining databases.
  8. Monitoring overall staff attendance & leave records in assistance to the Payroll/HR department.
  9. Monitoring & keeping records of all incoming and outgoing assets from office premises.
  10. Managing product samples inventory, expected samples tracking, and incoming & outgoing samples records.
  11. Directing internal and external calls, emails, and faxes to designated departments.
  12. Providing excellent customer service in greeting clients and visitors with a positive, helpful attitude, assisting in meeting their requirements.
  13. Helping maintain workplace security by issuing, checking badges, and maintaining visitor logs as necessary.
  14. Arranging and scheduling appointments, meetings, and events.
  15. Monitoring office supplies and ordering replacements.
  16. Preparing facilities and arranging refreshments for events, if required.
  17. Observing the best business practices and etiquette.

Requirements:

  1. Associate’s or bachelor’s degree in a related field.
  2. Prior experience in administrative, marketing admin/related field.
  3. Experience with all administrative & clerical procedures.
  4. Consistent, professional dress and manner.
  5. Excellent written and verbal communication skills.
  6. Competency in Microsoft applications including Word, Excel, Outlook & social media.
  7. Good time management and problem-solving skills.
  8. Able to contribute positively as part of a team, helping out with various tasks as required.
  9. Current UAE resident is preferred (on Parent or Husband Sponsorship).
  10. Joining immediately.
