Summary of Job Profile:
- Attend to patients on the phone and in person. Co-ordinate and organize appointments and administration to facilitate the efficient running of the dental office.
Essential Duties and Responsibilities
Pre-Clinical Management
- Greet patients, answer phone within 3 rings, and respond to enquiries accurately.
- Check answerphone messages/missed calls and return calls.
- Call all patients to confirm appointments; if no response, send SMS/Email.
- Send SMS confirmations for appointments and birthday alerts.
- Answer and manage incoming calls.
- Respond accurately and comply with requests for information.
- Schedule patient appointments.
- Confirm upcoming appointments and recalls according to office protocol.
- Monitor all doctors’ appointment diaries to ensure their patients have the correct bookings and their preferences are being met whenever possible.
- Call all waiting list appointments when availability is there to accommodate all patients.
Patient Management:
- Register new patients according to established office protocols.
- Assist patients in completing all necessary forms and documentation.
- Verify and update patient information.
- Inform patients of dental office procedures and policies.
- Move patients through appointments as scheduled; for patients coming late, check with the Doctor and advise patients.
Post Clinic Management:
- Patient Care Calls for all patients, with the exception of ortho, routine exam & cleaning – report any problems to the appropriate dentist or practice manager.
- Enter all relevant patient information into the data system.
- Collect and receive payments from patients at the time of treatment, recording correctly; tally cash/credit card reports and hand over to the person in charge.
- Complete and send Daily Income Reports to all relevant managers.
- Inform patients of financial treatment plan options.
- Arrange payment schedules with patients.
Insurance and Admin Function:
Maintain and manage patient records in compliance with privacy and security regulations.
- Arrange patient charts for next-day appointments.
- Fill in cancellations and no-shows.
- Organize referrals to other branches and any specialists.
- Dispatch lab work appropriately.
- Prepare claim forms for dental insurance.
- Arrange supporting documents for insurance claims.
- Sort and distribute incoming and outgoing post.
- Ensure the reception and your working area are kept clean at all times.
- Perform other related duties as required.

Education and Experience:
- General education degree or high school diploma.
- Knowledge of dental terminology, procedures, and diagnosis.
- Knowledge of computer and relevant software applications.
- Knowledge of general administrative and clerical procedures.
- Working knowledge of dental insurance.
