Are you ready to take on a key role in a fast-paced, thriving Commercial Real Estate company?

As an administrator, you'll be at the heart of our operations, ensuring everything runs smoothly behind the scenes. From supporting our amazing team to keeping clients and landlords happy, you'll make a real impact every day!

Here's an insight to what your day-to-day will look like:

  1. Office Operations: You'll ensure the office is always running smoothly, managing supplies, equipment and maintenance. You will be responsible for managing petty cash, keeping track of the balance and ensuring accurate expense documentation.
  2. Client & Landlord Relations: You’ll foster strong relationships with landlords and clients, coordinating property viewings, meetings, and ensuring smooth transactions. You'll work closely with agents to ensure timely contract signings and seamless property processes.
  3. Documentation & Record Keeping: You’ll be the wizard behind our filing system, keeping real estate contracts, property deeds, leases, and all essential documents organized and easily accessible.
  4. Financial & Admin Support: You’ll manage payments, invoicing, and financial reporting, while tracking bills and ensuring timely follow-ups. You'll also generate lead reports to track client inquiries and business opportunities.
  5. Marketing Support: You’ll list properties in our CRM, ensure online listings are updated and visually appealing, coordinate photoshoots and videos with the marketing team, and promote properties for maximum visibility.
  6. Agent Profile Manager: Help agents create and maintain their profiles on portals like Property Finder and Bayut/Dubizzle, making sure they’re always in tip-top shape to qualify for “Super Agent” status!
  7. HR Tasks: You’ll manage agent visas, work permits, and broker licenses, ensuring all paperwork is organized and compliance is maintained.

Here's what you'll need:

  1. Education: A Bachelor’s degree in Business, Real Estate, or a related field (preferred).
  2. Experience: 2-3 years in office administration, ideally in real estate.

Skills:

  1. Organized, with excellent time-management skills.
  2. Great communicator with people at all levels.
  3. Knowledge of real estate terminology and laws is a bonus!
  4. Proficient in Microsoft Office Suite and property management software.
  5. Detail-oriented and a pro at juggling multiple tasks at once.
  6. Can work independently and as part of a team.
