Job description

Responsibilities

  1. Carry out daily administrative activities of the Executive office while adhering to Hilton Standards, policies and procedures.
  2. Provide secretarial support to the Commercial and Executive team.
  3. Ensure all communications, particularly relating to owners, guests and the Corporate office are handled promptly and professionally.
  4. Receive and distribute mail.
  5. Ensure outgoing mail is dispatched in a timely manner.
  6. Provide minutes to Executive Team Meetings and compile management reports in a timely and accurate manner if necessary.
  7. Maintain adequate supplies of office stationary.
  8. Assist other departments wherever necessary and maintain good working relationships.
  9. Carry out all filing.
  10. Comply with all key security mandates.
  11. Report any maintenance issues or hazards.
  12. Maintain own work area in a clean, tidy and good manner.
  13. Report defective materials and equipment.
  14. Ensure compliance of brand standards.
  15. Comply with hotel security, fire regulations and all health and safety legislation.
  16. Assist with special projects and support in organizing tasks related to Hotel & Brand requirement as per the deadline.
  17. Coordinate special reservation requests made through the Executive Office & Commercial Team.
