A Dubai based Real Estate company is seeking a proactive and detail-oriented Assistant Property Manager. The ideal candidate will be responsible for tenant acquisition, lease management, and customer satisfaction, while providing essential support in budget preparation and property maintenance coordination. This role requires a candidate who is adept in communication, skilled in negotiation, and has a keen eye for financial oversight to ensure a well-maintained property portfolio.
Key Responsibilities
Actively market and advertise available properties to attract high-quality tenants.
Screen prospective tenants to ensure alignment with the company's standards.
Schedule and conduct property viewings, showcasing available units.
Build and maintain a robust broker network to enhance property occupancy.
Coordinate with external brokers for unit availability, viewings, document collection, and booking.
Lease Management
Draft and review lease agreements, ensuring compliance with company policies.
Negotiate lease terms to secure optimal rent aligned with the approved budget.
Manage lease renewals promptly, coordinating with legal for default cases as necessary.
Customer Satisfaction
Act as the main point of contact for tenant escalations, ensuring quick issue resolution.
Facilitate smooth tenant move-ins and move-outs, addressing any transition concerns.
Handle tenant complaints professionally, aiming for satisfactory outcomes.
Budget Preparation and Financial Oversight
Assist in preparing property revenue and operating expense budgets.
Review financial reports and contribute to budget forecasting and planning.
Track revenue variance and suggest strategies to bridge any financial gaps.
Weekly Reporting and Updates
Compile and present weekly updates on property occupancy, leasing, revenue, and tenant feedback.
Analyze property data to provide actionable insights for management.
Maintain open communication with the Property Manager, offering recommendations as needed.
Property Maintenance and Inspections
Collaborate with the FM department to address maintenance requests and inspections.
Oversee timely completion of repairs and maintenance, ensuring tenant satisfaction.
Conduct regular walkthroughs to assess property conditions and identify improvement areas.
Administrative Support
Maintain comprehensive records, including tenant files, lease documents, and other key property documents.
Support the Property Manager with daily administrative tasks.
Ensure all property-related transactions and tenant interactions are accurately documented.
System Updates
Keep all system data updated and accurate to facilitate smooth property management processes.
Job Requirements
Business or Real Estate related degree
8+ year's property management experience, with UAE experience being a must.
In depth knowledge of the Dubai/UAE property market.
Knowledge of leasing, budget management, and property maintenance.
Proficiency in property management software is a plus.
Strong problem-solving and conflict-resolution abilities.
Customer-oriented with a professional, service-focused demeanor.
Team player who collaborates effectively with staff, tenants, and vendors.
