Job description

The Project Design Coordinator is responsible for supporting the Director in the day-to-day operational and tactical aspects of projects. This includes establishing project delivery strategies, planning, administration, cost control, project reporting, design reviews for completeness and constructibility, and managing the coordination of all parties involved.

Key Responsibilities:

  • Assist the Director in delivering contracted project management services.
  • Collaborate with and advise senior management on all aspects of the design and construction process.
  • Communicate effectively with consultants and contractors.
  • Monitor and evaluate the performance of consultants and contractors, ensuring adherence to contract deliverables, timelines, and budgets.
  • Facilitate or lead meetings and workshops with consultants and contractors, documenting minutes and following up on action items.
  • Evaluate and propose contract variation orders, payment certificates, and invoices for approval.
  • Assist in formulating the tender strategy, identifying qualified consultants, contractors, and vendors; preparing and issuing RFPs; and evaluating proposals.
  • Organize and attend design review meetings, workshops, and reports throughout the design phases.
  • Prepare monthly progress reports and record minutes from meetings.
  • Review and monitor project schedules for adherence to timelines, following up on pending tasks.
  • Verify invoices and assess variations and claims.
  • Monitor project costs to ensure alignment with financial expectations.
  • Participate in site RFIs (Request for Information) and coordinate with the design team as required.
  • Assist in project closeout activities.
  • Review floor plans, as-built drawings, and CAD files; liaise with fit-out contractors and other suppliers to implement changes as requested.
  • Research the supplier network and negotiate favorable rates for all materials (FF&E, lighting, AV, sanitary ware, joinery) while preparing presentations for owner selection.
  • Organize follow-up site meetings and document changes, gathering detailed briefs to share with suppliers for commercial proposals.
  • Conduct supplier analysis and provide recommendations based on supplier profiles to enhance company margins without compromising quality or service.
  • Communicate with third-party interior design firms, review renderings, and provide feedback for supplier updates.

Qualifications:

  • Bachelor's Degree in Business Administration, Project Management, Interior Design, or equivalent.
  • 1-3 years of experience in a similar field.
  • Strong customer focus, communication, and negotiation skills.
  • Excellent time management and multi-tasking abilities.
  • Proficiency in IT skills, with basic knowledge of CAD and Adobe Suite.
  • Understanding of interior design and space planning.
  • Previous experience in luxury property and relevant products (furniture, material supplies, residential fit-out) is preferred.
