Logistics Coordinator - Arabic/French Speaking

Our client, a multinational company, is looking for a Logistics Coordinator.

Job Responsibilities:

  1. Logistics Coordination for Export Shipments:
    1. Manage all export shipments from Jebel Ali Free Zone and from factories as soon as the delivery number and SI are provided by the customer service team for the MEA region.
    2. Handle any export shipments related to the service team (Service, Parts, Technical, Controls, warranty & affiliates), irrespective of the mode of shipment (sea, courier, normal air, land) and type of order.
    3. Prepare shipping documents coordinating with the Customer Service team, customer/Affiliate, forwarder, factory, and warehouse.
    4. Align with factory on forwarder details, delivery numbers, and documents for shipments directly from factory to customers or affiliates.
    5. Close coordination with the Customer Service team, factory, customer/Affiliate, and forwarder is required for timely movement of shipments.
    6. Timely information with delivery proof, AWB, or B/L copy must be shared with the Customer Service team or Affiliate upon shipment collection.
    7. Coordinate with certifying agencies like TUV, SGS, BV for COC in line with customer requirements together with factory or warehouse.
    8. Review and monitor shipments based on CIF, CFR, FOB, DDP, DDU terms.
    9. Closely coordinate with the credit team and submit all the LC, SBLC, and CAD documents on time in line with company and customer requirements.
    10. Clear invoices from forwarders on time and inform the payables team for payments.
    11. Establish professional relationships with forwarders; hold periodic meetings with all forwarders and warehouse to meet our logistics needs and negotiate better rates.
    12. Continuously monitor and minimize transport costs.
    13. Hold regular meetings with forwarders and warehouse to understand changes and update the team.
    14. Handle the below DSM role for the service team:
      1. Work order creation for Project Sales, General Repair, Spare Parts, Commissioning, Goodwill sales.
      2. DOS & Extended warranty contracts creation.
      3. Invoicing, closing the work order & coordination with R2R for revenue recognition.
    15. Prepare monthly KPIs and reports on the logistics role.
    16. Work in line with JSOX processes and advise on process improvements.
  2. ERP System – Key User Role:
    1. Perform key user role in the ERP system.
    2. Train new users on ERP process and flow.
    3. Conduct testing with IT for any new developments in the system related to logistics functions.

Job Requirements:

Experience & Knowledge:

  • Knowledge & working experience on export logistics for MEA region.
  • Familiarity with Inco terms.
  • Working proficiency in ERP systems.
  • Excellent networking and time management skills.

Education:

  • Bachelor’s degree.
  • Diploma/training courses in Logistics Management (optional).

Skills:

  • High level of negotiation skills needed.
  • Proficient working knowledge of Excel, PowerPoint, and other MS tools.
  • Out-of-the-box thinking to participate in process improvements.
  • Proficiency in written and verbal communication and negotiation skills.

Personality Attributes:

  • Results and quality oriented.
  • Ability to accurately and reliably provide correct solutions.

Preferred:

  • Willingness to work under pressure and take on challenges.
  • Working knowledge on export logistics to MEA region from Jebel Ali FZE.
