AREA OF RESPONSIBILITY / BRIEF DESCRIPTION OF ACTIVITIES
- Analyze incoming memos and reports to assess their significance and facilitate distribution.
- Manage incoming correspondence, including sorting and distributing faxes and emails.
- Maintain and retrieve corporate documents and records.
- Greet visitors and determine their access to specific individuals.
- Prepare responses for routine correspondence inquiries.
- Perform general office tasks such as ordering supplies, maintaining records systems, and basic bookkeeping.
- Organize agendas and logistics for meetings involving committees or executives.
- Arrange travel for executives.
- Conduct research, compile data, and prepare presentation materials for meetings.
- Compile, transcribe, and distribute meeting minutes.
- Manage executives' schedules and prepare various documents using office software.
- Establish and oversee administrative policies and procedures.
- Supervise and train clerical staff.
- Review and suggest improvements to operating practices and procedures.
- Interpret administrative policies for employees.
MINIMUM EXPERIENCE
- Relevant experience performing a variety of administrative support functions.
- Computer skills including ability to operate MS Office and other word processing programs at a highly proficient level.
- Knowledge in Oracle system is an advantage.
