The Duty Manager is expected to lead by example in terms of appearance, attitude, equity & professionalism. Their main role is to ensure the proper operation of the following sections: Front Desk, Group Coordinator, Operator, and Business Centre.
The Duty Manager will be available at the Hotel 24 hours a day.
Training and Human Resources
The Duty Manager ensures all staff on duty are immaculately groomed and wear the correct and complete uniform.
Ensures all staff are present at scheduled times in the appropriate sections and that there is always the minimum standard number of staff on duty in each section.
The Duty Manager reports any discipline problem to the Front Office Manager/ Assistant Front Office Manager and must be fair in any staff disciplinary action required during their absence.
The Duty Manager will ensure the full motivation of the team and create a positive work atmosphere to encourage better service quality and minimize turnover.
Technical Responsibilities
The Duty Manager is the only representative of the Senior Management 24 hours a day and must be versatile to handle various situations.
The Duty Manager will be the first to be called if a guest is looking for a member of the management team. They must use tact and diplomacy to rectify situations quickly, ensuring guest satisfaction while respecting procedures.
The Duty Manager will maintain contact with the Front Office Manager to report any guest comments or problems, ensuring good coordination and communication.
To maintain an accurate record in the Duty Manager's logbook of items and incidents of concern to management.
Lobby Coordination
The main area of work for the Duty Manager is the Lobby, and they will spend their time there unless away on a specific mission to coordinate overall lobby activity and engage with guests.
Leader of Communication
The Duty Manager will participate in daily Front Office Manager briefings and weekly Front Office Meetings, bringing questions, case studies, and new ideas for discussion.
The Duty Manager will provide full information and updates to all Front Office staff and encourage interactivity to address their questions and problems.
To ensure a relevant Duty Manager logbook is maintained and updated, checking logs from different Front Office sections to keep communication lines open.
Responsible for a detailed Duty Manager Handover, reviewing daily activities, problems encountered, follow-ups needed, and incomplete tasks.
Supervision & Controls
To ensure overall coordination of Front Office Operations and assist all sections of the Front Office department.
Responsible for maintaining Front Office Standards and Procedures in line with Dusit Policies.
To ensure proper follow-up of room requests and coordination with housekeeping regarding cleaning priorities.
Responsible for ensuring that all Financial and Audit Procedures are respected, conducting daily controls, and signing official documents.
To ensure the close of the day is done correctly, verifying the accuracy of reports issued by Front Office.
To ensure immigration registration is completed as per established procedures.
To keep full records of incoming and outgoing items in the Duty Manager Safe.
To motivate staff regarding selling and up-selling programs and ensure compliance with instructions received.
To respect the privacy of guest information and ensure confidentiality.
To ensure all Front Office areas are clean and tidy at all times.
Responsibility In Terms Of Security
The Duty Manager will coordinate with Security for any Safe Opening in the hotel and record actions appropriately.
In the event of fire, the Duty Manager will coordinate as per emergency procedures and ensure staff control their duties during the situation.
To alert Security for any suspicious behavior or conflicts and report these incidents in the Duty Manager's logbook.

Job Requirements
Minimum education of a Bachelor’s degree in Hotel Management or a relevant discipline.
Minimum of 5 years in Front Office experience in a similar capacity, preferably in a 5-star environment.
Knowledgeable in Front Office Operations.
Excellent English communication skills, both written and spoken.
Professional disposition with excellent interpersonal skills.
