Document Management: organize and maintain all project-related documents, including drawings, contracts, specifications, correspondence, reports, and technical files, ensuring proper filing and easy accessibility.
Document & Deliverables Tracking: log, track, and distribute incoming and outgoing documents to relevant stakeholders promptly and accurately. Monitor and ensure project deliverables are submitted on time, flagging delays and proactively managing issues.
Compliance and Standards: ensure all document control processes comply with internal and client requirements, including document numbering, approval workflows, and distribution standards.
Coordination with Project Teams: collaborate closely with project managers, engineers, and other team members to ensure all documents are processed and distributed in alignment with project timelines.
Database Management: maintain and update digital filing systems using Document Management Software (DMS), ensuring accurate storage and efficient retrieval of records.
Reporting: prepare regular status reports on document control processes, tracking submissions, approvals, and outstanding items for senior management and clients.
Archiving and Retrieval: archive project documentation according to company and client requirements, ensuring compliance and efficient future retrieval.
Quality Control: ensure documents are accurate, consistent, and complete before submission or distribution.
Diary Management: support senior management by coordinating calendars, scheduling meetings, and ensuring all priorities and commitments are seamlessly managed.
Administrative Support: Prepare reports, presentations, and correspondence. Maintain accurate filing systems and records to support office and project needs.
What We’re Looking For:
Proven experience in document control, preferably in engineering, construction, or consultancy projects.
Strong understanding of document control procedures, standards, and best practices.
Excellent organizational skills and attention to detail.
Effective communication skills in English; additional languages are an advantage.
Ability to work collaboratively with multidisciplinary teams and independently manage tasks.
Familiarity with international document control standards and project workflows.
