Job Description
We are seeking a detail-oriented and organized Document Controller to manage and oversee the documentation related to import and export activities. This role ensures that all necessary documents are accurately prepared, filed, and maintained for international trade compliance. The Document Controller will support the logistics and supply chain teams in ensuring smooth import and export operations, adhering to legal requirements, and optimizing the flow of goods across borders.
Key Responsibilities:
- Prepare, organize, and maintain all documentation related to import and export transactions (e.g., shipping instructions, bills of lading, invoices, packing lists, certificates of origin, and customs declarations).
- Ensure that all documents are accurate, complete, and compliant with international trade regulations.
- Implement and maintain a structured filing system (both physical and digital) for easy retrieval of documents.
- Ensure all documentation complies with local and international trade laws, customs regulations, and company policies.
- Work closely with customs brokers and freight forwarders to ensure timely submission and approval of necessary documentation for imports and exports.
- Monitor the import/export documentation process to identify and resolve any potential issues with customs or other regulatory authorities.
- Maintain detailed records of all import/export documents for auditing purposes and compliance reviews.
- Prepare reports for management regarding the status of import/export documentation and any issues that need resolution.
- Ensure all documents are archived correctly and are easily accessible for future reference.
- Identify and implement improvements in the document control process to increase efficiency and accuracy.
- Stay updated with changes in trade laws, customs requirements, and industry best practices to ensure ongoing compliance.
- Address any issues or discrepancies in documentation, such as missing or incorrect documents, and work to resolve them in a timely manner.
- Support the team in resolving delays or issues that may arise during customs clearance or shipping.
Qualifications:
Education: Bachelor’s degree in business administration, Logistics, International Trade, or a related field. Additional certifications in import/export or trade compliance are a plus.
Experience: At least 2-3 years of experience in document control, specifically related to import/export or logistics management.
Knowledge: Understanding of international trade regulations, customs procedures, and documentation requirements.
Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
