As part of the new cargo terminal project, the Document Controller plays a critical role in ensuring seamless coordination and traceability of all project documentation. Their work supports timely decision-making by maintaining organized, accessible, and compliant records throughout the construction and commissioning phases. Accountabilities

1. The Document Controller may produce and/or compile or assist in completing any one of the following:
2. Receives and distributes including: scans, indexes, files, tracks, and archives all Program related documents (hardcopy and electronically) such as letters, internal memos, transmittals, submittals (i.e., material submittals, inspection requests, material inspection requests, documents submittals, method statement, RFIs, drawings) and other related documents.
3. Coordinate with project teams, consultants, and contractors to ensure timely receipt, review, and distribution of cargo terminal project documents including construction drawings, permits, and compliance records.
4. Maintain a dedicated filing system and tracking log for all documentation specific to the new cargo terminal, ensuring alignment with project timelines and audit requirements.
5. Support the handover process by preparing well-organized document packages for final submission to stakeholders upon terminal commissioning.
6. Ensures all document control activities adhere to the document control procedures, scanning, indexing, and logging incoming and outgoing documents into Open text Livelink.
7. Assisting the Program staff to familiarize themselves with Open text Livelink.
8. Ensuring efficient retrieval and tracking of Program documents, both electronically and in hard copies.
9. Ensuring that reference materials are properly maintained in the Program Technical Library.
10. Support records management needs for all projects during the closeout and archiving phases.
11. Maintaining confidentiality and security of sensitive and confidential documents.

Education & Experience

1. High School Diploma or equivalent.
2. Two (2) years in a similar role within aviation or airport operations.
3. Experience in integrated reporting platforms combining multiple software applications.
4. Excellent verbal and written communication skills.
5. Attention to detail and ability to handle confidential information with discretion.
6. Strong time management skills with the ability to work in a fast-paced environment.
