Department Coordinator - 6 months extendable contract

Job Description:

  1. Schedule and coordinate meetings, appointments, and travel arrangements.
  2. Prepare meeting agendas, take detailed minutes, and distribute them promptly.
  3. Manage incoming and outgoing correspondence, including emails, letters, and invitations.
  4. Handle phone calls and respond to inquiries in a professional manner.

Documentation and Reporting:

  1. Prepare and format presentations, reports, and other documents for internal and external use.
  2. Draft and review documents such as Request for Proposals (RFPs), Request for Information (RFIs), and quotations.
  3. Organize and maintain electronic and physical filing systems.

Coordination and Follow-up:

  1. Track and follow up on tasks and deadlines to ensure timely completion.
  2. Coordinate with other departments and external stakeholders as needed.
  3. Assist in the preparation and distribution of surveys, and compile and analyze results for management review.
  4. Assist in the planning and execution of department events, workshops, and training sessions.
  5. Coordinate logistics, including venue arrangements, participant communication, and material preparation.
  6. Maintain accurate records and databases related to licensing activities.
  7. Generate reports and provide data analysis to support decision-making processes.
  8. Serve as a point of contact for internal and external communications related to the Licensing Unit.
  9. Ensure effective communication and information flow within the department and with external parties.
  10. Provide general administrative support to the Licensing Unit as required.
  11. Assist with special projects and other duties as assigned by the Head of the Licensing Unit.

Desired Candidate Profile:

  1. Bachelor’s degree in Business Administration, Management, or a related field.
  2. Proven experience in an administrative or coordinator role, preferably in a regulatory or licensing environment.
  3. Strong organizational and time management skills.
  4. Excellent written and verbal communication skills.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Ability to work independently and as part of a team.
  7. High attention to detail and accuracy.
  8. Strong problem-solving skills and ability to handle confidential information with discretion.
