Job Description:
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare meeting agendas, take detailed minutes, and distribute them promptly.
- Manage incoming and outgoing correspondence, including emails, letters, and invitations.
- Handle phone calls and respond to inquiries in a professional manner.
Documentation and Reporting:
- Prepare and format presentations, reports, and other documents for internal and external use.
- Draft and review documents such as Request for Proposals (RFPs), Request for Information (RFIs), and quotations.
- Organize and maintain electronic and physical filing systems.
Coordination and Follow-up:
- Track and follow up on tasks and deadlines to ensure timely completion.
- Coordinate with other departments and external stakeholders as needed.
- Assist in the preparation and distribution of surveys, and compile and analyze results for management review.
- Assist in the planning and execution of department events, workshops, and training sessions.
- Coordinate logistics, including venue arrangements, participant communication, and material preparation.
- Maintain accurate records and databases related to licensing activities.
- Generate reports and provide data analysis to support decision-making processes.
- Serve as a point of contact for internal and external communications related to the Licensing Unit.
- Ensure effective communication and information flow within the department and with external parties.
- Provide general administrative support to the Licensing Unit as required.
- Assist with special projects and other duties as assigned by the Head of the Licensing Unit.
Desired Candidate Profile:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience in an administrative or coordinator role, preferably in a regulatory or licensing environment.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High attention to detail and accuracy.
- Strong problem-solving skills and ability to handle confidential information with discretion.
