Job description

ADMINISTRATIVE SUPPORT

Provide support in all areas of office administration including preparation of confidential correspondence, presentations, reports, and agendas.

Manage the Head Coach's calendar, coordinate all meetings and appointments ensuring that all necessary information and documentation required for daily activities are provided and confirmations are sent to all attendees.

Coordinate travel and accommodation arrangements including flights, hotel bookings, and travel itineraries for the Head Coach. Ensure visa requirements and applications are completed and all travel documents are prepared ahead of time.

Reconcile travel invoices and process all business expenses and invoices.

Negotiate and sign corporate rates with hotels. Record the hotel corporate rates and relevant details in a database to be shared with all users.

EVENT MANAGEMENT

Organize quarterly business review meetings, annual business planning conferences, workshops, and any other meetings as required by the Head Coach. This includes venue selection, bookings, transportation, and agenda preparation.

Lead and organize all logistic requirements for visiting guests of the Head Coach.

PROJECTS SUPPORT

Act as project leader for the Business Planning Tool Process, working closely with the Head Coach on Business Planning preparation and tool.

Keep track of important project or key task deadlines and submit to the Head Coach prior to submission dates (e.g., monthly Commercial Reports, Business Plans, etc.).


Qualifications:

  • Previous administration experience of at least 10 years in a similar position, preferably within an FMCG multinational company.
  • Strong English communication skills (oral & written) with the ability to influence others and hold people accountable. (Arabic skills are a plus)
  • Maturity to handle complex situations and maintain confidentiality.
  • Advanced experience with Microsoft Office programs, especially coPilot and PowerPoint.
  • Strong multitasking, planning, and organizational skills.
  • Solution-oriented with strong problem-solving ability and sound judgment.
  • Team player in a multicultural environment with very good interpersonal skills.
  • Enthusiastic, passionate, self-motivated, and a self-starter with strong initiative.
