To support and assist the Project Control Vice President and all Project Control in performing the day-to-day activities.
Duties and responsibilities:
In conformity with company and job procedures and in accordance with Vice President instructions, the Project Control Assistant:
Prepare departmental communications, correspondence, and notices.
Arrange for travel authorization and provide travel booking and accommodation for personnel on business travels.
Follow up the updating of the Timesheet Corporate System to ensure relevant clearance at the monthly cut-off.
Organize accommodation for new personnel joining the company and relevant operational tools.
Organize temporary accommodation for personnel visiting the Project Control Department on a temporary basis.
Collect necessary documentation and ensure assistance to obtain visas and work permits for foreign resources to be assigned to Project Control teams.
Prepare Richiesta di Approvvigionamento (RDA) for Project Control Services to be hired in outsourcing.
Prepare the monthly statement (Service Entry Sheets) for services rendered in outsourcing.
Follow up curriculum vitae updating of permanent personnel and ensure availability within the Corporate Intranet.
Provide any clerical support to the Department as needed.
As a member of the department, the duties of the Project Control Assistant are:
Provide feedback to the Project Control Vice President concerning problems arising from the application of standard methods and work instruction to improve the effectiveness and efficiency of the department.
Keep up to date about the technical specific improvement of the discipline.
Person Specification
Knowledge & Qualifications:
Bachelor's degree in engineering or related discipline (Construction Management).
Experience:
Minimum 3 years experience in Project Controls, with experience in Site EPC position in projects mandatory.
Skills and Abilities:
Excellent communications and interpersonal skills.
Attention to detail and management skills.
Team-oriented skills, self-motivation and direction, with a strong bias toward timely performance and problem resolution.
