Role Summary:
The Corporate Services Lead will play a key role in overseeing the effective management of IMI's Corporate Services, ensuring smooth execution of Administrative functions and optimizing office operations. This leadership position involves managing the IMI Welcome Center and supervising essential services, including Office Standardization, Supply Management, and the Pre-approvals Application Process.
In this role, the Corporate Services Lead will provide strategic direction to teams, driving continuous improvements and enhancing efficiency across all corporate services within the organization. The ideal candidate will foster collaboration, implement best practices, and ensure alignment between corporate services and overall organizational objectives.
Key Responsibilities:
Policy, Procedure, and Workflow Management
- Lead the development, enhancement, and implementation of corporate services policies, procedures, and workflows.
- Regularly assess and update policies to align with business needs and external regulations, introducing tailored process forms to enhance efficiency and accuracy.
Office Standardization and Supply Management
- Oversee office operations, including managing high-profile meetings, team events, and client visits.
- Develop and implement a guest management program with streamlined processes, initiatives, and follow-up systems.
- Ensure office standardization by optimizing furniture usage and office space for maximum productivity.
- Lead the IMI Welcome Center team, ensuring effective task prioritization and seamless service to deliver an exceptional visitor experience.
- Supervise office assistants and third-party service providers to ensure service excellence and performance standards are consistently met.
- Manage office supplies, including pantry and stationery, working closely with procurement to ensure approvals and payments are handled efficiently.
- Oversee staff canteen services, collaborating with catering suppliers, incorporating staff feedback, and ensuring quality standards are upheld.
- Coordinate office space allocation and reallocation for new hires and existing staff to ensure optimal space utilization.
Overall Leadership Responsibilities
- Collaborate across departments to ensure seamless and efficient corporate services operations.
- Ensure organizational compliance with local protocols, legal standards, and industry regulations.
- Build and maintain strong relationships with governmental and regulatory bodies.
- Conduct audits to ensure adherence to legal and regulatory standards and implement necessary adjustments.
- Lead the implementation of advanced digital archiving systems for efficient document management.
- Drive training and development initiatives for the administrative team to foster a culture of continuous improvement.
- Develop and maintain emergency preparedness and contingency protocols to ensure organizational resilience.
- Provide adaptable support services that align with the evolving needs of the organization.
Financial and Resource Management
- Develop, manage, and optimize budgets for corporate services to ensure cost efficiency.
- Analyze financial trends and provide recommendations for cost-saving measures and improved operational efficiency.
- Manage resources and vendors, ensuring timely and cost-effective project delivery by defining scope, measuring performance, and maintaining client relationships.
Collaboration and Strategic Support
- Foster collaboration within teams and provide strategic support across all organizational assets.
Ad-hoc and Additional Responsibilities
- Take on special projects or assignments as required by the organization that may fall outside of the typical job description.
- Provide support to other departments or teams as directed by management, assisting with tasks that contribute to overall business success.

Job Requirements:
- Bachelor’s Degree in Business Administration, Management, or a related field.
- 7-10 years of experience in a corporate services or administrative leadership role.
- Proven ability to collaborate effectively with cross-functional teams, building strong relationships across departments.
- Detail-oriented with a strong commitment to accuracy and high-quality standards.
- Excellent organizational, analytical, and problem-solving skills.
- Proficient in MS Office applications, with advanced PowerPoint skills highly desirable.
- Exceptional communication skills, both written and verbal.
- Ability to prioritize tasks and manage multiple deadlines effectively in a fast-paced environment.
