We are recruiting for a Receptionist / Office Administrator position on behalf of a well-known UAE-headquartered holding company. This role offers a unique opportunity to join a professional and dynamic office based in Dubai.

Role Overview

As the first point of contact for visitors and clients, the Receptionist / Office Administrator will provide exceptional customer service and ensure a welcoming, professional atmosphere. The role involves managing front desk operations, handling inquiries, and supporting the team with various administrative and office management tasks.

Key Responsibilities

  1. Greet and welcome visitors warmly and professionally.
  2. Answer, screen, and forward incoming calls.
  3. Manage inquiries from clients, staff, and the public.
  4. Maintain an organized and presentable reception area.
  5. Schedule and oversee appointments, meetings, and conference room bookings.
  6. Handle mail, deliveries, and stationary supplies.
  7. Oversee office pantry supplies and ensure staff needs are met.
  8. Assist with administrative tasks such as data entry, filing, and photocopying.
  9. Ensure security protocols and maintain visitor logs.
  10. Coordinate with office management and vendors to ensure smooth operations.
  11. Handle sensitive information with confidentiality.

Qualifications

  1. High school diploma or equivalent (additional qualifications are a plus).
  2. Proven experience as a receptionist, office administrator, or in a similar role.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  4. Excellent communication skills in English (verbal and written). Arabic proficiency is a plus.
  5. Strong organizational and multitasking skills.
  6. Friendly, approachable demeanor with a customer service focus.
  7. Ability to work independently and collaboratively in a fast-paced environment.

Preferred Skills

  1. Familiarity with vendor registrations and calendar management.
  2. Experience in administrative or office management roles.
  3. Versatile communicator with native fluency in English; Russian and Arabic will be an advantage.
