Job description

Job Purpose

  • Managing the legal department’s online contracts database.
  • Monitoring all legal contractual relationships and managing the life cycle of each contract.
  • Uploading contracts for signature to the company’s online contracts tool and ensuring that all internal approvals are given.
  • Automation of documentation and the use of automation systems to create first drafts of confidentiality agreements.
  • Working with procurement to identify upcoming contract expirations, auto renewals, etc.
  • Making first approaches to renewing vendors under the supervision of procurement.
  • Time to be split between legal and procurement department.

This position will suit an individual with a legal background, who has strong computer skills.

Key Accountabilities

  • Setting up and managing the filing and indexing of all contracts (legacy and new) in our Contracts Database.
  • Maintaining our Contracts Database including analyzing and electronically annotating each contract, managing contract renewals, and running reports as required.
  • Working closely with procurement to start contract renewals.
  • Uploading contracts through internal software for approvals and e-signature and tracking such contracts through to signature, indexing, and filing.
  • Following up the contractual process with all necessary stakeholders to ensure all contracts are duly signed and delivered by all parties.
  • Being in charge of all contract renewals, auto renewals, expirations, etc.
  • Assisting in the generation of first drafts using an automated drafting tool.
  • Assisting with the maintenance and updating of precedents.
  • Assisting with the automation of contracts.
  • Assisting with basic legal work such as drafting non-disclosure agreements, termination letters, and extension letters.

Qualifications and Skills

  • The Candidate must:
  • Have three (3) years’ experience within a legal department or contracts administration role.
  • Be confident with learning new technologies (training will be provided) and proficient in Word, Excel, and PowerPoint.
  • Have excellent attention to detail.
  • Be highly organized.
  • Be self-motivated and able to work with minimal supervision.

Desirable but not required

  • Legal qualifications or previously legal experience. This could be a flexible role and no candidate will be too qualified.
  • Previous experience in drafting commercial contracts (paralegal or higher level).
  • Own or spouse visa.
