Provides direct administrative support to a senior executive to enable the executive’s achievement of duties and ensure the executive’s assigned function or business segment operates efficiently and smoothly.
Greet, screen and entertain visitors to ensure coordination and communication of itinerary and changes.
Responds to time-sensitive requests for information and assistance regarding the executive’s function.
Drafts communications to a variety of audiences on behalf of the executive via various communication formats.
Screens telephone calls from multiple sources including other executives, customers, media and other sources.
Works closely with executive to understand scheduling and issue priorities, and implements short-term and long-term planning to ensure maximization of executive’s schedule and time.
Makes all travel arrangements, including completion of travel preauthorization form, travel expense claims and reconciliation.
Organizes hospitality and other events sponsored by the executive or on behalf the company.
Responsible for special assignments or projects as assigned and coordinating resources to ensure completion.
Independently applies a variety of complex support methods/skills with general autonomy to develop responsive, effective customized solutions as needed by executive.
What You Will Bring
Associates degree or equivalent work experience
8+ years experience in an administrative support function supporting VP level or above.
Very high proficiency in Microsoft Office Suite including PowerPoint, Word, Excel, Teams, Forms, and Outlook.
High level of interpersonal skills and professionalism to be able to interact with all levels of executives, both internally and externally, as well as Board members.
Attention to detail is required.
Ability to perform responsible and difficult administrative support duties involving the use of independent judgment, taking personal initiative and having resourcefulness.
Researching, compiling, analyzing and interpreting data.
Ability to plan and organize work to meet changing deadlines and priorities.
Analytical decision maker who is action oriented, diplomatic and persuasive.
Ability to adapt to ambiguity and manage conflicting priorities in a fast-paced environment.
This position will be required to work on site at Empower's Hunt Valley, Maryland office.
