Business Operations Specialist

We are seeking an experienced Business Operations Specialist with a strong background in finance within the cybersecurity industry. This role is pivotal in overseeing and optimizing our company's operations, ensuring financial impact is effectively managed while maintaining operational excellence. The ideal candidate will play a key role in managing relationships with vendors, distributors, and customers, while driving corporate compliance, renewals, and project tracking.

Responsibilities:

Operational Relationship Management:

• Vendors, Distributors, and Customers: Maintain and enhance operational relationships, addressing concerns and ensuring smooth communication and workflow.

Compliance and Renewals:

• Tracking Regulatory Requirements: Ensure the business is compliant by tracking necessary renewals, such as licenses, permits, trademarks, patents, and domain registrations across different jurisdictions.
• Compliance Calendar: Develop a calendar to track all renewal and registration deadlines to prevent missing critical dates.

Project Management:

• Project Coordination: Collaborate with Service Delivery Managers and project teams to ensure projects are billed on time.
• Timeline Control: Monitor project timelines and escalate issues proactively.

Financial Control (Receivables & Payables):

• Credit Policies & Invoicing: Oversee credit policies and invoicing processes.
• Monitoring Receivables: Generate regular aging reports, track overdue accounts, and implement a structured follow-up process to ensure timely collections.
• Collections: Manage collections by working with customers on overdue payments.

Office Administration and Legal:

• Legal Compliance: Manage financial and operational legal compliance, including cybersecurity regulations and contracts.
• Visa Processing: Oversee visa processing for international employees, ensuring smooth application and renewal procedures.
• Collaboration with Legal Counsel: Work closely with legal teams to mitigate risks.

Team Leadership:

• Mentorship: Lead and mentor a team of finance professionals, fostering continuous improvement.
• Collaboration: Promote interdepartmental collaboration, particularly between finance, operations, and legal teams.

Experience:

• Bachelor's degree in Finance, Accounting, Business Administration, or a related field. An MBA is preferred.
• 7-10 years of experience in operations, with at least 3-5 years in a senior operations role.
• Experience in IT or cybersecurity industry
• Proven experience managing legal and visa processing functions.
