Job description

Job Purpose:

This role is responsible for analyzing, gathering, and documenting business requirements to support the development, enhancement, and integration of systems, platforms, and digital solutions across GPSSA. By acting as a bridge between stakeholders and technical teams, this role ensures that deliverables align with organizational objectives, user needs, and industry standards. The role identifies opportunities for process improvement, facilitates effective communication, and provides data-driven insights to enhance operational efficiency. Additionally, this role supports project implementation by ensuring clear requirements, fostering collaboration, and driving continuous improvement to deliver seamless and innovative solutions.

Serve as a strategic partner in the design and development of IT systems and digital solutions. This role requires an expert in gathering and analyzing requirements, understanding how systems are designed, and bridging the gap between business needs and technical implementation. The ideal candidate will possess strong technical expertise, allowing them to effectively communicate and advise stakeholders on IT system requirements.

Main Duties and Responsibilities:

Core Responsibilities

Requirement Gathering and Analysis

  1. Conducts thorough analysis of business processes to identify opportunities for improving systems, workflows, and digital solutions while ensuring alignment with organizational goals and strategic initiatives.
  2. Engages stakeholders through diverse methods, including interviews, surveys, workshops, and focus groups, to capture and document both functional and non-functional requirements with precision.
  3. Translates complex business requirements into clear, actionable technical specifications, ensuring clarity, prioritization, and alignment with business value and impact.
  4. Assess current workflows and systems to identify inefficiencies, bottlenecks, and opportunities for process automation, optimization, or system redesign.
  5. Performs root cause analysis to address underlying issues and recommend effective, scalable solutions for operational improvements.

Collaboration and Stakeholder Engagement

  1. Acts as a liaison between business stakeholders, technical teams, and third-party vendors, ensuring effective communication and alignment throughout the project lifecycle.
  2. Leads and facilitates collaborative workshops and meetings across cross-functional teams to align on project objectives, deliverables, and timelines.
  3. Synthesizes feedback from diverse stakeholders to create comprehensive, well-balanced requirement specifications that consider both business priorities and technical feasibility.
  4. Provides regular updates on project progress, system enhancements, issue resolutions, and ongoing maintenance activities to relevant stakeholders.
  5. Develops and maintains robust communication plans, proactively addressing stakeholder concerns, expectations, and project risks.

Documentation and Process Mapping

  1. Develops clear, detailed specifications, user stories, and process maps to effectively communicate requirements to technical teams and stakeholders.
  2. Maintains a comprehensive requirements traceability matrix to track changes and ensure alignment throughout the project lifecycle.
  3. Produces user manuals, training materials, and end-user documentation to ensure smooth adoption of new systems and processes.
  4. Prepares essential project documentation, including scope definitions, prioritization matrices, and planning materials, in alignment with organizational standards.

Solution Design and Evaluation

  1. Collaborates closely with IT, development, and design teams to validate that proposed solutions align with business requirements and end-user needs.
  2. Actively participates in design sessions, providing valuable input on functional specifications, user experience considerations, and scalability.
  3. Reviews prototypes, mock-ups, and system designs to ensure alignment with business goals, user expectations, and technical standards.
  4. Supports system integrations, ensuring seamless interoperability and adherence to enterprise-level standards.

Quality Assurance and Testing Support

  1. Contributes to the development and execution of quality assurance practices, ensuring solutions meet the specified requirements and standards.
  2. Facilitates user acceptance testing (UAT) by organizing sessions, documenting feedback, and ensuring that all business requirements are properly addressed.
  3. Validates new features against defined acceptance criteria, ensuring that stakeholder needs and expectations are fully met.

Strategic Insights and Recommendations

  1. Stays informed of industry trends, best practices, and emerging technologies to provide innovative solutions that enhance business processes and system performance.
  2. Leverages stakeholder feedback, performance data, and operational analysis to provide actionable insights and support continuous improvement initiatives.
  3. Provides expertise to support the implementation of strategic roadmaps and organizational-wide initiatives, offering in-depth business analysis and expert recommendations.

Project Support and Risk Analysis

  1. Supports project objectives by ensuring deliverables meet organizational priorities, timelines, and resource constraints.
  2. Monitors project progress, identifies risks, and provides actionable insights to mitigate challenges, ensuring timely and successful project delivery.
  3. Documents and reports on project outcomes, lessons learned, and suggests areas for improvement in future projects.

Data and Analytics Support

  1. Collaborates with data teams to integrate analytics capabilities into solutions, enabling data-driven decision-making across the organization.
  2. Manages business intelligence requirements, ensuring the delivery of tools and solutions that support organizational analytics needs.
  3. Ensures adherence to data security, compliance, and confidentiality requirements, aligning solutions with organizational and regulatory standards.

Self-Management Responsibilities

  1. Defines performance goals at the start of the year in discussion with the Line Manager and ensures that the goals are achieved during the course of the year.
  2. Identifies the training and development requirements for self and agrees on them with the Line Manager to ensure that the required trainings are arranged and attended.
  3. Strives to achieve the highest levels of proficiency on all the competencies and skills required to perform the role.
  4. Keeps abreast of professional developments, new techniques, and current issues through continued education and professional growth.

Education and Experience:

  1. Bachelor's degree in Computer Science Engineering, Information Technology, or a related field.
  2. Certified Scrum Product Owner
  3. Minimum of 5+ years of experience as a business analyst.
