Job Title: Administrative Assistant with Bookkeeping Expertise
Location: Dubai, UAE

We are looking for a detail-oriented Administrative Assistant to support both administrative and financial operations, including bookkeeping.

Position Overview:
The ideal candidate will be proactive, detail-focused, and experienced in administrative duties as well as financial recordkeeping. This role involves supporting day-to-day administrative tasks, managing invoices, generating purchase orders, and handling bookkeeping responsibilities. Proficiency in Microsoft Excel and prior experience in administrative and finance roles are key for success.

Key Responsibilities:

Bookkeeping and Financial Support:

  • Maintain and organize financial records, including tracking income and expenses.
  • Reconcile bank statements and manage accounts payable/receivable.
  • Assist in preparing financial reports and summaries for management.
  • Handle petty cash and expense reimbursements.

Invoice and Purchase Order (PO) Management:

  • Track, manage, and process invoices (new and outstanding).
  • Reconcile vendor statements to ensure accuracy in financial records.
  • Generate and document purchase orders, ensuring timely approval and processing.

Administrative Support:

  • Provide general administrative support to the office and leadership team.
  • Manage correspondence, scheduling, and document management.
  • Organize and maintain physical and digital records in compliance with company standards.

Reporting and Data Management:

  • Use Excel to maintain and analyze data for administrative and financial purposes.
  • Generate detailed and accurate reports to support decision-making processes.

Qualifications:

  • Proficiency in Microsoft Excel (advanced knowledge preferred).
  • Hands-on experience with bookkeeping, invoicing, and purchase order generation.
  • Knowledge of basic accounting principles and reconciliation processes.
  • Strong organizational, problem-solving, and multitasking skills.
  • Excellent attention to detail and a high degree of accuracy.
  • Prior experience in an administrative or finance-related role is highly desirable.
