We are looking for a detail-oriented Administrative Assistant to support both administrative and financial operations, including bookkeeping.
Position Overview:
The ideal candidate will be proactive, detail-focused, and experienced in administrative duties as well as financial recordkeeping. This role involves supporting day-to-day administrative tasks, managing invoices, generating purchase orders, and handling bookkeeping responsibilities. Proficiency in Microsoft Excel and prior experience in administrative and finance roles are key for success.
Key Responsibilities:
Bookkeeping and Financial Support:
- Maintain and organize financial records, including tracking income and expenses.
- Reconcile bank statements and manage accounts payable/receivable.
- Assist in preparing financial reports and summaries for management.
- Handle petty cash and expense reimbursements.
Invoice and Purchase Order (PO) Management:
- Track, manage, and process invoices (new and outstanding).
- Reconcile vendor statements to ensure accuracy in financial records.
- Generate and document purchase orders, ensuring timely approval and processing.
Administrative Support:
- Provide general administrative support to the office and leadership team.
- Manage correspondence, scheduling, and document management.
- Organize and maintain physical and digital records in compliance with company standards.
Reporting and Data Management:
- Use Excel to maintain and analyze data for administrative and financial purposes.
- Generate detailed and accurate reports to support decision-making processes.
Qualifications:
- Proficiency in Microsoft Excel (advanced knowledge preferred).
- Hands-on experience with bookkeeping, invoicing, and purchase order generation.
- Knowledge of basic accounting principles and reconciliation processes.
- Strong organizational, problem-solving, and multitasking skills.
- Excellent attention to detail and a high degree of accuracy.
- Prior experience in an administrative or finance-related role is highly desirable.
