Prepare and manage email correspondence and other written communications.
Receive and assign CMMS internal and external calls.
Generate and distribute the Planned Preventive Maintenance (PPM) schedule and task via CAFM system to Engineers and Technicians.
Create and manage CM and PPM requests and assign tasks to Engineers and Technicians.
Send notifications for Preventive Maintenance (PM) and Corrective Maintenance (CM) to suppliers via email, covering under-warranty, loan basis, and subcontracted medical equipment.
Prepare and submit weekly CM and PPM pending reports, as well as monthly financial and technical reports.
Handle and prepare petty cash reports.
Process subcontract invoices for approval, updating the Subcontract Invoice Tracker accordingly.
Monitor and update the medical equipment inventory in the CAFM system.
Upload relevant documents to the CAFM system and maintain organized documentation for all medical equipment.
Prepare and manage contract agreements for subcontracted machinery and track subcontract machine status.
Provide support to Engineers and Technicians on CAFM-related issues and maintain records for PR, LPO, spare parts, and provisional sums (SEHA).
Track and manage spare parts requests and CAFM store inventory.
Maintain a tidy, well-organized, and systematic work environment, including scanning, photocopying, and organizing files.
Any additional tasks or responsibilities related to the role may be requested by the line manager as required.
Qualifications and Experience:
Diploma in biomedical engineering / Biomedical Technology, or a related field (bachelor's degree preferred)
1 to 3 years of relevant experience in an administrative and technical coordination role.
