Job description

The Bid Manager/Proposal Manager is responsible for managing the entire bid lifecycle, from opportunity identification and bid planning to proposal submission and post-bid reviews. This role ensures that all proposals align with the organization's strategy, comply with client requirements, and present the company's solutions in the best possible way to secure contracts.

Key Responsibilities:

  1. Bid Management:
    • Analyze Request for Proposals (RFPs), Request for Information (RFIs), and similar documents to determine submission requirements and evaluate feasibility.
    • Develop and manage the bid plan, timeline, and deliverables to meet deadlines.
    • Lead cross-functional teams (sales, technical, legal, finance, and operations) to gather necessary inputs for the bid.
    • Coordinate proposal development meetings, including kick-off, review, and sign-off sessions.
  2. Proposal Writing and Content Development:
    • Create compelling, clear, and concise proposals tailored to client needs, incorporating technical and commercial information.
    • Develop reusable templates, boilerplates, and content libraries for efficient proposal preparation.
    • Ensure all bid documents adhere to the organization's branding and quality standards.
  3. Stakeholder Coordination:
    • Work closely with internal teams (e.g., sales, technical, and project delivery) to ensure alignment between client requirements and proposed solutions.
    • Manage communications with subcontractors, partners, and other external stakeholders when collaborating on joint bids.
  4. Compliance and Risk Management:
    • Ensure all bids comply with client requirements, legal regulations, and internal governance standards.
    • Identify risks associated with the proposal and work with relevant teams to mitigate them.
  5. Budgeting and Costing:
    • Collaborate with finance and project teams to develop cost-effective and competitive pricing strategies.
    • Review financial models and budgets to ensure accuracy and alignment with the bid strategy.
  6. Post-Bid Activities:
    • Track bid outcomes and obtain client feedback for continuous improvement.
    • Maintain a database of past bids, including wins, losses, and lessons learned.

Required Skills and Qualifications:

Technical Skills:

  • Proficiency in proposal management tools and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience in developing technical and commercial proposals.

Soft Skills:

  • Strong project management skills, including the ability to manage multiple bids simultaneously.
  • Excellent written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Ability to work under pressure and meet tight deadlines.

Qualifications:

  • Bachelor's degree in business, engineering, marketing, or a related field.
  • Experience in bid/proposal management, business development, or a related field.
