Bid Coordinator

The Role
Our Global Project Management consultancy client has a new requirement for a well-experienced BID, Proposals and Marketing Coordinator to join their team in Abu Dhabi to work on new projects. Successful candidates will have a proven background as a BID, Proposals and Marketing Coordinator working in engineering, construction or professional services company in the UAE. This role is available for immediate joining and is an initial 3-month fixed term contract position employed as an outsource employee through J10 Consulting.

Key Responsibilities:

1. Assist in the completion of persuasive proposals, marketing collateral and presentations.
2. Develop an understanding of technical terminology, project management structure, and discipline functions by Sectors.
3. Ability to handle multiple projects simultaneously, coordinate groups of content providers and deal with changing priorities.
4. Review RFPs and contribute to strategic win plan discussions with Market Leaders, Project Managers and Technical Leaders and develop various sections of the Strategic Win Plan (RFP requirements and schedule).
5. Support the ME Proposals and Marketing team as required.
6. Drive proposal content update and completion.
7. Coordinate proposal formatting, writing, editing, and proofreading efforts.
8. Coordinate the review of proposal practices and initiate process improvement and knowledge management projects to streamline production.
9. Coordinate participation and entries for relevant Awards and Presentations.
10. Coordinate proposal and winning work KPIs by utilizing Power BI reports under the BD Clients & Markets space.
11. Update project photo library with high-quality images and responsible for the collection of images and maintenance of the photo library for all staff.
12. Support the Proposal Team with BD-related tasks to support the prepositioning phase with the Technical Leads.
13. Liaising with BGLs, PDs and PMs regarding coordination, issues, and review of data for Client Satisfaction Surveys.
14. Undertake market research projects on an ‘as needed’ basis.
15. Coordinate with the Marketing and Graphic Teams and provide graphics support in preparation of bid packages, prequalification’s (PQs), and requests for proposal/information/qualifications (RFQ/RFI/RFQ).
16. Develop a strong internal network and contribute to the identification of the best resources for the project team and conduct Marketing inductions for new staff.

Requirements
BID Proposals & Marketing Coordinator Experience:

1. Bachelor’s or Master’s degree.
2. Minimum 3 years of proven experience in coordinating and writing technical proposals for an engineering, construction or professional services organization.
3. Understand client requirements to facilitate effective proposal development.
4. Coordinate effective kick-off meetings, group status calls, ensuring activities enforce to the Proposal Development Plan.
5. Demonstrate superior teamwork abilities and a willingness to jump in and help others when needed.
6. Produce the successful development of compliant and driven proposals through effective collaboration across stakeholders (internal team, sub-consultants, etc.).
7. Ensure quality content and appearance of final proposal deliverables.
8. Accurate application of Visual and Writing Style Guidelines.
