Summary: The Assistant Purchasing Manager will play a central role in defining and executing strategies across key procurement areas, including Supply Chain, Marketing, Logistics, IT, and other direct and indirect procurement categories. Reporting to the Purchasing Manager, this role focuses on optimizing costs, building strong supplier partnerships, and ensuring operational excellence. You will drive sustainable, high-quality procurement solutions aligned with the company objectives and values.
Essential Duties and Responsibilities:
Purchase Management
- Identify the needs for direct / indirect goods and services within the company (e.g., components, general services, office supplies, trade marketing, PR, service contracts, logistics and transport, IT…).
- Collaborate closely with internal stakeholders across departments to align procurement strategies with their needs and ensure satisfaction.
- Execute approved annual sourcing calendar developed with the Purchasing Manager.
- Identify and select suppliers eligible for RFQ.
- Brief suppliers in accordance with technical specifications and requirements from business.
- Negotiate purchasing conditions with suppliers to obtain the best possible terms (pricing, contracts, specifications…).
- Review, evaluate, and approve specifications for issuing and awarding projects to suppliers through the RFQ process.
- Create and maintain all purchasing related documentation.
- Work with the Purchasing team to continuously improve the purchasing processes.
Supplier Management & Contract Management
- Monitor supplier adherence to contractual obligations and proactively address non-compliance.
- Establish and maintain strategic partnerships with key suppliers to secure best-in-class terms and services.
- Proactively address and resolve supplier issues or disputes.
Analysis and Reporting
- Assist the Purchasing Manager in developing the procurement strategy.
- Analyse expenditure and procurement data to identify savings opportunities and process improvements.
- Develop and maintain purchasing dashboard.
Internal Collaboration
- Collaborate with internal stakeholders and external suppliers to follow the Purchasing strategy and ensure effective the smooth running of purchases.
- Work closely with the supply chain teams to ensure in-store availability is optimized.
Requirements
- Bachelor’s or master’s degree in purchasing, management, business, economics, or a related field.
- At least 6 years’ experience as a Buyer or in a procurement environment with a proven history of managing suppliers, within the beauty industry would be a plus.
- Strong analytical skills (Efficiency in Excel is mandatory).
- A problem-solving attitude.
- Ability to achieve daily operational tasks.
- Excellent communication, negotiation, and conflict-resolution abilities.
- A strong Supply Chain understanding is a must.
- Manufacturing understanding is a plus.
- Independent and appreciates responsibility.
