Job Title: Assistant Manager, Asset Management

Location: Dubai, UAE

Job Summary:

The Assistant Manager, Asset Management, will support the Senior Manager in overseeing the Contract & Administration team for all leasing administration activities. This role is responsible for preparing lease agreements, coordinating system updates, obtaining necessary approvals, and ensuring timely communication with relevant parties. The Assistant Manager will also help guide the team, uphold company policies, and optimize efficiency in lease administration.

Key Responsibilities:

Leasing Administration:

  • Assist the Senior Manager in leading the contracts administration team, ensuring all leasing activities comply with company policies and guidelines.
  • Set and monitor administration KPIs to improve the efficiency of leasing transactions.
  • Track and monitor lease agreement deadlines, ensuring timely notifications to relevant parties for renewals and tenant notifications.

Compliance and Document Management:

  • Ensure all leasing processes align with company policies and comply with Audit and Document Management standards.
  • Maintain accurate and up-to-date tenant information in the database.
  • Prepare legal documentation when required, ensuring timely and accurate submission to the legal team, and coordinate on any specific amendments.

Stakeholder Communication:

  • Maintain professional communication with both internal and external stakeholders.
  • Represent the company with the highest ethical standards in all interactions.
  • Address tenant/client requests and issues promptly, escalating any critical matters to the Senior Manager.

Reporting and Process Improvement:

  • Prepare and maintain weekly and monthly reports on:
  • MDR (Monthly Departmental Report).
  • Delayed renewals and expected completions.
  • Expired tenant documents (EID, Insurance, License).
  • Missing documents required for lease issuance.
  • Support the development of contract administration processes and assist with special projects as assigned by the Senior Manager.

Document Control:

  • Ensure department documents are securely stored, accessible, and retrievable without deterioration.
  • Complete filing and documentation in a timely manner, according to agreed-upon standards.

Additional Responsibilities:

  • Draft letters, memos, and email communications as needed.
  • Provide updates to tenants on outstanding follow-ups and act as a backup for team members when required.
