Job Summary:

The Assistant Manager – Admin. & HR is responsible for overseeing primarily the administrative functions and government relations. This role involves managing PRO activities, visa processing, employee documentation, and documentation of staff mobilization while ensuring compliance with UAE labor laws and company policies. The ideal candidate will play a key role in supporting business operations by ensuring smooth administrative processes and effective HR management.

Key Responsibilities:

1. HR Management & Employee Relations:

  1. Manage and maintain employee records, contracts, and personal files.
  2. Ensure HR policies and procedures comply with UAE labor laws and company standards.
  3. Provide support in handling employee relations, grievances, and conflict resolution.
  4. Process end-of-service settlements and ensure timely final payments for departing employees.

2. PRO & Government Relations:

  1. Supervise visa processing, including new applications, renewals, and cancellations.
  2. Ensure compliance with MOHRE, ICA, GDRFA, and TAMM regulations.
  3. Manage health insurance coordination, including enrollments, renewals, and claims.
  4. Maintain and update legal documentation related to manpower and employee compliance.

3. Payroll & Attendance Management:

  1. Maintain annual leave records, update AL tracker sheets, and ensure accurate leave adjustments.
  2. Prepare and update monthly attendance sheets for payroll processing.

4. Administrative & Operational Support:

  1. Supervise and manage the Typing Desk team handling visa applications and government documentation.
  2. Support staff mobilization, ensuring necessary job cards are created and PROs are assigned tasks.
  3. Oversee client invoicing, ensuring accurate issuance of Sales Orders upon job completion.

Requirements:

  1. Education: Bachelor’s degree in HR, Business Administration, or a related field.
  2. Strong knowledge of UAE labor laws, visa processing, and HR compliance.
  3. Experience with UAE government portals (MOHRE, ICA, GDRFA, TAMM, etc.).
  4. Excellent leadership, communication, and problem-solving skills.
  5. Proficiency in MS Office and HR software.
  6. Fluency in English (Arabic is an advantage).

Preferred Qualifications:

  1. Experience in a manpower services company or in managing HR operations.
