As Assistant GC&E Manager, you will analyze market trends and competitor activity to recommend strategies that keep the hotel a leader in the marketplace through the development of future and repeat business. Specifically, you will be responsible for performing the following tasks to the highest standards:
- Handling all events/groups details and complete planning for rooms, events, and groups.
- Observing the team activities within the departments and communicate with the GC&E Sales Manager.
- Giving out availability and rates for rooms and banquet events in line with targeted selling strategy.
- Handling site visits with potential or actual clients.
- Taking over group/event files according to supervisor’s orders.
- Revising group contracts or issuing contract addendums for the client and ensuring the revised proforma invoice is sent on time.
- Preparing the group file with all details.
- Communicating all event and group details with operational departments by leading weekly BEO meetings and hotel systems pro-actively (Distributing BEOs and Group Instruction Sheets).
- Managing group blocks and entering rooming lists into the system.
- Conducting Pre-con meetings with organizers and all operation departments in the hotel.
- Following up on deposit payments as per contracted terms.
- Cooperating with the finance team to ensure invoices are issued with correct backup.
- Collecting feedback from clients about their experience and sharing it with relevant departments for developments/appreciations.
- Developing and maintaining excellent product knowledge and using it to deliver the benefits of the product to the client.
- Obtaining full knowledge of competitors' products to understand the marketplace.
Daily Tasks
- Releasing BEOs
- Inserting rooming lists and releasing GIS
- Site inspections of definite events/groups
- Applying for DTCM permits
- Collecting and following up on deposits
- Final invoices and billing
- Applying HHonors points
- Pre-con meetings with organizers
- Weekly BEO meetings with Ops teams
- BBOB activities when required
- Sales calls when required
- Finalizing groups in-house and closing pay master after group checkout
