Job description

As Assistant GC&E Manager, you will analyze market trends and competitor activity to recommend strategies that keep the hotel a leader in the marketplace through the development of future and repeat business. Specifically, you will be responsible for performing the following tasks to the highest standards:

  1. Handling all events/groups details and complete planning for rooms events and groups.
  2. Observing the team activities within the departments and communicating with the GC&E Sales Manager.
  3. Providing availability and rates for rooms and banquet events in line with the targeted selling strategy.
  4. Handling site visits with potential or actual clients.
  5. Taking over group/event files according to supervisor's orders.
  6. Revising group contracts or issuing contract addendums for the client and ensuring the revised proforma invoice is sent on time.
  7. Preparing the group file with all details.
  8. Communicating all event and group details with operational departments by leading weekly BEO meetings and hotel systems proactively (Distributing BEOs and Group Instruction Sheets).
  9. Managing group blocks and entering rooming lists into the system.
  10. Conducting Pre-con meetings with organizers and all operation departments in the hotel.
  11. Following up on deposit payments as per contracted terms.
  12. Cooperating with the finance team in order for invoices to be issued with correct backup.
  13. Collecting feedback from clients about their experience and sharing it with relevant departments for developments/appreciations.
  14. Developing and maintaining excellent product knowledge and using it to deliver the benefits of the product to the client.
  15. Obtaining full knowledge of competitors' products to understand the marketplace.

Daily Tasks

  1. Releasing BEOs.
  2. Inserting rooming lists and releasing GIS.
  3. Site inspections of definite events/groups.
  4. Applying for DTCM permits.
  5. Collecting and following up on deposits.
  6. Final invoices and billing.
  7. Applying Hhonors points.
  8. Pre-con meetings with organizers.
  9. Weekly BEO meetings with Ops teams.
  10. BBOB activities when required.
  11. Sales calls when required.
  12. Finalizing groups in-house and closing pay master after group checkout.
