Job description

Responsibilities:

  1. Plans, organizes, manages, and conducts Annual General Assemblies of homeowners in line with the Association Constitution.
  2. Plans, organizes, and manages OC Board Meetings for OA-related businesses.
  3. Manages OA’s Common Areas and services therein (community, buildings, facilities, infrastructure, landscaping, soft and hard services).
  4. Implements methods for regular communications or updates with members of the OA and residents.
  5. Prepares budgets for the building service fees in consultation with the management team.
  6. Presents budget to the OC Board and OA for approvals as applicable.
  7. Liaises with compliance team to obtain RERA approvals on the building service fees.
  8. Reviews and suggests initiatives to increase building income and cost savings.
  9. Liaises with government authorities on issues pertaining to the OA as needed.
  10. Ensures compliance with jointly owned property law and related directions.
  11. Develops, manages, and implements governing documents required for managing the OA (declarations, community rules, codes, covenants and easements, policies, procedures, processes, sales, and purchase agreements).
  12. Manages relationships with OC Board Members and Homeowners/Residents.
  13. Caters to the secretarial and administrative requirements of the OA/OC Board Members (minutes of meetings, reports, presentations, letters, notices, etc.).
  14. Manages building service fee budgets by exercising due diligence and cost control.
  15. Manages OA cash flow through revenues and expenses, escalating shortfalls to Senior Management and OC Board Members.
  16. Reviews incoming invoices and processes them for timely payments.
  17. Creates strategy, goals, or plans for the JOPs in alignment with applicable laws and regulations.
  18. Sets annual plans for effective management and contractors’ performance using the SMART framework.
  19. Identifies action steps and timelines needed to reach objectives.
  20. Communicates plans clearly to staff and delegates work.

Frameworks, Boundaries, & Decision-Making Authority:

  1. Abide by applicable laws, rules, regulations, and executive orders within the respective jurisdiction.
  2. Follow the company's short and long-term goals and objectives and cascade them to the team.
  3. Report any breaches of company privacy, data, or any other confidentiality matters.
  4. Responsible for managing the assigned portfolio of community associations.
  5. Engage with Boards of Directors, Homeowners, and private contractors serving the association.
  6. Handle homeowners' calls, assign work orders, solicit bids, process design review requests, and manage notices and violations while maintaining professionalism.
