A successful IT Asset Management Specialist will have the following qualifications:

Primary Responsibilities Include
Manage and meet multiple inventory deadlines each week
Observe guidelines to allow secure access to equipment and maintain organization
Fulfill internal customer request (order) tickets in ServiceNow in a timely fashion, while providing great customer service
Keep customers appraised of order status via notes in ServiceNow
Work with approved vendors to place orders for equipment and software
Enter and track purchase requisitions in Oracle
Recommend and process orders for back stock to ensure we maintain adequate levels of inventory
Keep stockrooms clean and organized
Collaborate with other teams to resolve ongoing process issues that may not be the responsibility of this role
Draft knowledge base entries to ensure consistency of processes across PC Tech teams
Desired Candidate Profile
Asset Inventory Management:
Maintain a complete and accurate inventory of IT assets, including hardware (e.g., laptops, servers, networking equipment) and software (e.g., applications, licenses).
Track asset life cycles from procurement to disposal, ensuring all assets are recorded in an Asset Management System.
Implement barcode tagging or RFID systems to track physical assets.
Regularly audit and reconcile the asset inventory to ensure accuracy and prevent discrepancies.
Procurement and Deployment:
Work with procurement teams to evaluate, order, and track new IT assets (hardware and software) according to organizational needs.
Ensure that purchased assets meet both operational and budgetary requirements.
Coordinate the deployment of IT assets to end-users, ensuring devices and software are configured, tested, and ready for use.
Maintain proper documentation of each asset’s serial number, configuration, and location.
Asset Lifecycle Management:
Oversee the entire lifecycle of IT assets, ensuring efficient use, maintenance, and proper retirement of assets as they reach end-of-life.
Track warranty and service contract expiration dates, ensuring timely renewals or replacements.
Monitor and manage software license usage, ensuring compliance with licensing agreements and avoiding over-deployment or under-usage.
Compliance and Audits:
Ensure that IT assets comply with organizational policies, industry regulations, and legal requirements (e.g., SOX, HIPAA, GDPR).
Prepare for and support internal and external audits by maintaining accurate asset records and ensuring compliance with licensing and regulatory standards.
Identify and resolve any discrepancies found during audits, such as missing or misconfigured assets.
