Job description

Job Purpose

To assist the Air Navigation Services (ANS) Safety Management System (SMS) Manager and Department staff with the implementation and maintenance of the SMS, in compliance with applicable regulations and the contractual requirements of company clients.

Job Responsibilities

  • Support the ANS SMS Manager in all administrative matters regarding applicable Safety Management Systems and related matters, including GANS Integrated Management System (IMS).
  • Assist with the implementation of SMS in compliance with applicable state regulations, client requirements, and GANS directives.
  • Maintain safety records, data, and documentation in conformance with applicable aviation regulations, organisational policies, and confidentiality requirements, including Department databases and manuals.
  • Support the planning and administration of safety training and safety promotion activities.
  • Fulfil the duties, when required, of IMS Champion for the ANS Safety Department.
  • Schedule Safety Assurance visits to ANS units and manage associated notifications, reports, and follow-up activities, including monitoring of corrective actions.
  • Organise and administer internal and external meetings to meet Department, company, and Client requirements, taking accurate minutes of meetings, when necessary.
  • Perform any additional responsibilities directed by the ANS SMS Manager to support safety management operations, projects, and objectives, and when instructed, for other stakeholders.
  • Identify, report, and investigate significant incidents such as non-compliances, emergencies, and safety occurrences, to the relevant parties promptly for timely action.
  • Safety responsibilities and accountabilities of this position are detailed in the Safety Management Manual of the organization. The Job holder is required to maintain awareness and knowledge in relation to their safety responsibilities associated with their job function.

Educational Qualification:

  • Higher secondary school certificate (Essential).
  • University Diploma or Degree in safety, quality or aviation-related subject (Preferable)

Professional Certifications:

  • Attendance on a certificated Safety Management Systems (SMS) course (Preferable)
  • Have held a licence (or equivalent document) as an ATCO, Pilot, ATSEP, IFPD, ATCA (Preferable)

Experience:

  • At least 2 years professional experience of working in the aviation industry (Essential)
  • At least 2 years professional work experience in an office-based administrative position (Essential)
  • Experience of working with GCAA and/or ICAO Standards and Recommended Practices (Preferable)
  • Worked with an Air Navigation Service Provider or airport company (Preferable)

Special Technical Skills:

  • Advanced user of Microsoft Office Suite programmes (Essential)
  • Understands Safety Management Systems and applies SMS principles in day-to-day working practices.
  • Complies with the legal, regulatory and IMS framework applicable to the SMS.
  • Adheres to compliance-related policies, procedures, and best working practices.
  • Identifies and escalates any non-compliance issues.
  • Develops safety audit and safety survey schedules.
  • Collates and administers reports regarding hazards, risks, and safety occurrences.
  • Tracks, monitors, and reports risks using a unit level risk register.
  • Contributes to the design and development of safety management training content and communications.
