Job description

Administrative Officer - College of Computing and Mathematical Sciences

Provide assistance and support to the Dean and Colleges in all day-to-day administrative tasks.

Enhance and implement administrative systems as needed to increase efficiency.

Coordinate with the Line Manager on various projects and initiatives, following through on issues in a timely manner.

Review and summarize miscellaneous reports and documents, preparing background documents as necessary.

Provide secretarial support to departmental meetings; organize meetings, coordinate items for the agenda, prepare required documentation, take minutes of meetings, and follow up on details to ensure timely and accurate dissemination of information.

Coordinate logistics for speakers, guests, and visitors, ensuring appropriate faculty and staff members are present wherever required.

Ensure protection, security, and confidentiality of all files, records, and reports.

Maintain and update the filing system for the department, both paper and electronic, to store all critical documents and decisions for future reference.

Participate in and assist with the recruitment of staff during the new hire selection process.

Coordinate with the human resources department to have positions posted.

Coordinate with the Human Resources department regarding the onboarding process of new faculty members.

Archive and maintain the confidentiality of departmental files, databases, records, and other documents; retrieve files when required according to Khalifa University policies and procedures.

Provide assistance in understanding and interpreting the University's policies and procedures as needed to ensure that faculty members comply with policy standards.

Provide a variety of administrative support functions.

Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly.

Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities as needed.

Demonstrate a strong commitment to maintaining a safe and healthy work environment.

Perform any other tasks assigned by the Line Manager.

Qualifications - External

Bachelor's degree in business administration or a related field.

UAE National - A minimum of 2 years of relevant experience.
