About the Role

This dual-role position supports the Operations Team and plays a pivotal role in launching and driving the ongoing success of both SIRO and Rare Finds, our newest brands. Key Duties and Responsibilities:
- Assists the Operations team in day-to-day activities under the guidance of the SVP, SIRO and Rare Finds, including the coordination and management of general office duties.
- Coordinates meetings—booking meeting rooms, scheduling internal and external virtual or in-person meetings, and preparing relevant materials and documents—in line with SIRO and Rare Finds priorities.
- Assists in the formatting, preparation, and proofreading of documents for concept statement submissions, as well as for internal and external requirements related to SIRO and Rare Finds.
- Uploads contracts into the Kerzner Procurement system and supports the Operations team in following up on payments with Corporate Finance.
- Contributes to the development, execution, and management of Operations documents and the file-sharing system.
- Coordinates travel arrangements for Operations colleagues, including booking flights, hotel accommodations, and ground transportation through DW Travel agency.
- Prepares and delivers a wide range of administrative services, ensuring compliance with departmental timelines, accuracy, quality, and other assigned duties.
- Manages administrative budgets and advises on administrative spending.
- Responds to general inquiries from Kerzner Global colleagues, Atlantis, One&Only, and SIRO and Rare Finds resort staff, as appropriate, in alignment with the requirements set by SIRO and Rare Finds.
- Maintains the strictest confidentiality with all correspondence and shared information.
- Establishes and nurtures smooth working relationships with internal colleagues and external guests.
- Assists in preparing onboarding programs for new colleagues and Resort Executives prior to their Global Office visits.
- Practices proper telephone etiquette with Kerzner Global colleagues and for SIRO and Rare Finds.
- Ensures that all tasks assigned by the SVP, are completed in a timely manner.
- Ensures that all communication channels are respected, and that information is disseminated to the correct recipients.
- Maintains excellent communication and working relationships with colleagues, contributing to a strong team spirit.
- Ensures that a safe, hygienic working environment is always maintained, reporting any concerns or issues promptly to the immediate supervisor.
- Maintains an efficient flow of information and updates on all Kerzner International projects and resort activities for SIRO and Rare Finds, including updates on VIP/Board member arrivals, workshops, conferences, and social events on an ad hoc basis.
- Exhibits an outstanding knowledge of SIRO and Rare Finds.
- Demonstrates strong knowledge of and interest in the goals and objectives of SIRO and Rare Finds.
- Ensures that all activities are carried out honestly, ethically, and in compliance with U.A.E. law.
- Remains available after work hours to answer phone calls if needed.
- Assists in creating and updating Standard Operating Procedures (SOPs), Policies & Procedures, and other necessary forms.
- Supports the SVP by preparing, formatting, and proofreading documents for concept statement submissions, as well as for internal and external requirements related to SIRO.
- Contributes to miscellaneous special projects or duties as needed.
- Assists in creating expense reports and processing travel requests as required.
- Supports the SVP in the coordination of SIRO projects, report generation, and appropriate follow-up on all aspects.
- Performs other duties as assigned by the SVP.
Skills, Experience and Educational Requirements:
- Highly organized, flexible, and enthusiastic about tackling administrative challenges within hotel operations.
- Excellent written and verbal communication skills in English.
- Proven ability to work independently and collaboratively as part of a team.
- At least two years of clerical or administrative experience.
- Bachelor’s degree or equivalent experience.
- Proficient with general office equipment and telephone systems.
- Exceptional calendar management skills, including coordinating complex executive meetings.
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and experience with Adobe Acrobat.
- Strong decision-making skills paired with meticulous attention to detail.
- Ability to interact effectively with staff at all levels in a fast-paced environment, maintaining professionalism, confidentiality, and a proactive, resourceful approach.
