Job description

Position Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant with prior work experience in the Dubai Multi Commodities Centre (DMCC). The ideal candidate will possess exceptional administrative skills, a thorough understanding of DMCC regulations and procedures, and the ability to handle multiple tasks in a fast-paced environment.


Key Responsibilities:

  1. Office Management:
    • Maintain and organize office operations and procedures
    • Manage office supplies inventory and place orders as necessary
    • Coordinate maintenance and repair of office equipment
  2. Administrative Support:
    • Provide administrative support to senior management and other departments
    • Schedule and coordinate meetings, appointments, and travel arrangements
    • Prepare and edit correspondence, reports, and presentations
    • Handle incoming and outgoing mail and packages
  3. Document Management:
    • Prepare, review, and manage official documents, ensuring compliance with DMCC regulations
  4. DMCC Compliance:
    • Handle all DMCC-related administrative tasks such as company registration, license renewals, visa processing, and other regulatory requirements
  5. Communication:
    • Serve as the first point of contact for clients and visitors
    • Answer and direct phone calls and emails in a professional manner
    • Assist in the preparation and distribution of internal communications
  6. Data Management:
    • Maintain and update company databases and records
    • Ensure the accuracy and confidentiality of sensitive information
    • Assist with data entry and management tasks as required
  7. Event Coordination:
    • Assist in planning and organizing company events, meetings, and conferences
    • Coordinate logistics and manage event-related administrative tasks
  8. Miscellaneous:
    • Perform other duties and special projects as assigned
    • Provide backup support to other administrative staff as needed

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred
  • Minimum of 3-5 years of administrative experience, with at least 1-2 years in a similar role within the DMCC
  • Strong understanding of DMCC regulations, procedures, and compliance requirements
  • Familiarity with DMCC portal and online systems
  • Experience in handling company documentation and processes specific to the DMCC
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); excellent organizational and multitasking abilities; strong written and verbal communication skills
  • High level of professionalism, attention to detail, and ability to maintain confidentiality
  • Ability to work independently and as part of a team
