Role Description:

We are seeking a detail-oriented and proactive Administrative Assistant to join our dynamic team in Dubai. This is a full-time, on-site role that plays an important part in supporting daily operations and ensuring seamless workflow within the office.

Key Responsibilities:

  1. Client Communication: Professionally handle inquiries via phone, email, and in-person interactions while maintaining a courteous and customer-centric approach.
  2. Document Management: Prepare, edit, and organize real estate documents, contracts, and listings, ensuring all files remain accurate and up to date.
  3. Scheduling: Efficiently coordinate appointments, property showings, and meetings for agents and clients while managing office calendars.
  4. Listing Management: Assist in creating compelling property listings by capturing high-quality photos, writing engaging descriptions, and uploading them to relevant platforms.
  5. Database Management: Maintain and update client databases, ensuring all contact details and records are accurate.
  6. Market Research: Conduct property and neighborhood research to support agents in pricing strategies and marketing efforts.
  7. Administrative Support: Oversee daily office operations, including answering phones, managing office supplies, and maintaining a well-organized workspace.
  8. Transaction Assistance: Support the preparation of real estate contracts, escrow documentation, and closing procedures.
  9. Marketing Support: Contribute to marketing initiatives, social media management, and online property promotions to enhance brand visibility.
  10. Financial Records: Assist in tracking and processing invoices, expenses, and commission records with accuracy.

Qualifications:

  • High school diploma or equivalent; additional education or real estate courses are a plus.
  • 1-2 years of experience in the real estate industry (mandatory).
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software (e.g., MS Office, Google Workspace).
  • Familiarity with real estate procedures and terminology preferred.
  • Attention to detail and the ability to work independently.
