Job Description

The Administrative Assistant plays a vital role in ensuring the smooth day-to-day operations of an office by providing support to executives, managers, and staff. This position involves handling a variety of administrative tasks, including scheduling meetings, managing correspondence, maintaining records, and organizing office supplies. The ideal candidate should be highly organized, detail-oriented, and able to multitask efficiently in a fast-paced environment.

Responsibilities:

  • Manage and organize schedules, meetings, and appointments for executives and team members.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and letters.
  • Maintain and update office records, files, and databases to ensure easy accessibility.
  • Prepare reports, presentations, and other necessary documents as requested.
  • Assist in coordinating office events, meetings, and travel arrangements.
  • Order and manage office supplies, ensuring the workplace is well-equipped.
  • Support various departments with data entry, documentation, and administrative tasks.
  • Ensure compliance with office policies, procedures, and company regulations.
  • Act as the first point of contact for visitors, clients, and internal staff inquiries.
  • Assist in managing invoices, expense reports, and basic bookkeeping duties.

Requirements:

  • Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Ability to handle confidential information with discretion.
  • Problem-solving skills and the ability to work independently.
  • Professional demeanor and excellent interpersonal skills.
  • Experience in handling multiple tasks and working under deadlines.
  • Familiarity with basic accounting and administrative procedures is an advantage.
