Synopsis
To lead and provide advanced administrative support to the Aviation Security Department, encompassing budgetary management, procurement coordination, financial analysis, and strategic administrative functions. Ensure alignment with corporate governance standards and support departmental goals through enhanced organizational efficiency, cross-departmental collaboration, and professional stakeholder engagement.
Accountabilities
- Strategic Administrative Oversight: Provide leadership in organizing internal and external high-level meetings, including agenda development, stakeholder coordination, resource allocation, and post-meeting follow-ups (e.g., minutes and action plans). Drive departmental process improvements and contribute to the development of administrative policies and workflows.
- Data Management and Reporting: Oversee and optimize electronic and physical data storage systems, ensuring compliance with security standards and ease of retrieval. Prepare advanced-level presentations, detailed reports, and data-driven insights to support the department’s strategic objectives.
- Procurement and Financial Management: Manage procurement processes, including requisitions, purchase orders, and vendor payments, ensuring alignment with budgetary controls. Assist in budget preparation, financial tracking, and variance analysis, delivering actionable insights for cost efficiency.
- Stakeholder Coordination: Serve as the primary liaison between the department and internal/external stakeholders, ensuring seamless communication and engagement on departmental initiatives. Collaborate with cross-functional teams, including finance, procurement, and compliance, to support Aviation Security objectives.
- Team Leadership and Development: Supervise and mentor administrative staff, ensuring high performance, professional growth, and alignment with organizational values. Foster a collaborative environment to drive team efficiency and morale.
- Specialized Support for Aviation Security: Facilitate translation of critical documents and communications between English and Arabic, ensuring accuracy and cultural sensitivity. Support compliance with aviation security protocols and contribute to audit readiness.
- Ad Hoc Projects: Take the lead on assigned projects, offering administrative expertise and strategic input to deliver high-quality outcomes aligned with organizational priorities.
Education & Experience
- Bachelor’s Degree with 4 years relevant work experience
- High-level proficiency in business communication (English and Arabic)
- At least 3 years of experience in secretarial or administrative role
- Working knowledge of Procurement & financial systems (i.e. Ariba, SAP), preferably with I Procurement, MRP background
- Experience in a multi-cultural working environment ideally in an airline office.
